N/A JOB SUMMARY
The Purchasing Agent is responsible for sourcing, negotiating, and procuring materials, equipment, and services necessary to support company operations. This position ensures that all purchases are made in accordance with company policies, project budgets, and delivery requirements. The Purchasing Agent works closely with Project Managers, Senior Project Managers, shop leadership, vendors, and accounting to maintain accurate purchasing records, inventory maintenance, control costs, and ensure timely material availability.
ESSENTIAL FUNCTIONS
  • Generate and issue Purchase Orders (POs) in accordance with approved budgets and company authorization procedures
  • Obtain and evaluate vendor quotes for pricing, availability, and delivery timelines, including obtaining multiple quotes when appropriate and/or requested
  • Negotiate pricing, payment terms, freight terms, and volume discounts when appropriate
  • Ensure materials and services are ordered in a timely manner to meet project schedules
  • Provide order status updates, if requested, and communicate issues immediately
  • Track open Purchase Orders and follow up on backorders or delayed shipments
  • Coordinate with Shipping/Receiving to confirm deliveries match purchase documentation
  • Coordinate with Tool Crib Lead, as necessary on backordered items
  • Communicate delays, substitutions, or back orders promptly. Purchasing Agent will request this information from vendors as orders are placed and require vendors to provide updates if a previously placed order is delayed
  • Confirm receipt of materials immediately, if possible, but no longer than within one business day
  • Coordinate with Tool Crib Lead when items are marked for return, and ensure prompt return of items to vendors for credit, when requested
  • Resolve discrepancies related to pricing, quantities, damaged goods, or incorrect shipments
  • Evaluate vendor performance based on cost, quality, service, and reliability
  • Assist with ongoing and year-end inventory management, replenishment, and maintain appropriate stock levels for commonly used materials
  • Support cost control initiatives by identifying cost-saving opportunities, alternative suppliers, and vendor assistance for company sponsored events
  • Ensure compliance with internal purchasing controls (all orders to be received via the Purchasing Requisition Form and/or email)
  • Acknowledge receipt of purchase requisition immediately, or as quickly as feasible, and communicate material status updates, as requested
  • Verify completeness of requisition request form and request clarification immediately if needed, either verbally or through email
  • Provide the requester with order confirmation, expected delivery date, and tracking information, if requested
  • Enter Material Lists on a daily basis
  • Update material cost in CRM on a regular basis, as received by vendors, and when requested by company leadership
  • Responsible for being aware of and reviewing all information provided in written form daily
  • Must check WolfeApp, voicemail, text messages, and email multiple times daily and reply within the same day
  • Must maintain space for messages in voicemail by deleting non-essential voicemails daily
  • Responsible for leaving a message when you require a call back
  • Other responsibilities as deemed appropriate and assigned by company leadership
ADMINISTRATIVE & REPORTING RESPONSIBILITIES
  • Enter and maintain Purchase Orders and Material Lists within accounting software
  • Maintain organized electronic and paper purchasing records
  • Assist Accounts Payable in resolving invoice discrepancies related to purchase orders
  • Provide documentation support and reports during audits or financial reviews
  • Support management with vendor spend analysis and reporting
  • Assist with vendor files including W-9s, Certificates of Insurance, and credit applications, when requested

MINIMUM QUALIFICATIONS
  • High school diploma or equivalent required; associate or bachelor's degree preferred
  • 5+ years of purchasing, procurement, or supply chain experience preferred, particularly in a similar organization/industry
  • Strong understanding of pricing analysis and vendor negotiations
  • Proficiency in accounting software and Microsoft Office
  • Ability to prioritize multiple deadlines and work under pressure
  • Strong analytical, organizational, and communication skills
  • The ability to read and write clearly, legibly, and professionally
  • The ability to read, write, and complete basic mathematic computations
  • The desire to learn and the eagerness to accept other tasks and learning opportunities as they present themselves
CONTEXTUAL INFORMATION
  • This position operates primarily in a well-lit indoor office environment.
The Purchasing Agent is accountable for ensuring purchasing accuracy, cost control, and timely procurement of materials necessary for company operations.
