Job Description

Overview The Administrative Support III works under the direction of the Finance and Resource Manager and supports the procurement needs of the department while working closely with the Contracts Funds Administrator. Responsibilities
  • Maintains/Organize and file Purchase Oder Supply Agreements and Service Agreements into share drive and City database
  • Records retention spreadsheet for the division
  • Acts as the liaison between the Divisions and Contracts & Procurement
  • Works with divisions to understand their spending habits and is able to identify the best method of procurement by following the State Purchasing statues
  • Requests for HUB searches from Contracts and Procurement
  • Sends requests for quotes to vendors as needed
  • Prepares and coordinates the service agreement request for Quote packets as needed
  • Creates and submits requisitions to Contracts and Procurement to obtain Purchase Offers
  • Provides independent research on budget availability when processing requisitions
  • Participates in department-wide special events
  • Creates assignment during emergencies and disasters Position Type and Typical Hours of Work
  • Non-Exempt - Full Time
  • Flexibility to work evenings, weekends, and holidays is a schedule requirement

  • Associates Degree (AA/AS) or 2-year Technical Certificate
  • Two (2) years of experience Certifications, Licenses or other requirements Required
  • A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hire Employment is contingent on passing any post-offer pre-employment screening as listed below:
