Our product portfolio includes sophisticated pneumatic point-to-point and remote drive-up systems, along with full-service security equipment sales, installation, and support. Job Summary The Shipping/Receiving role is responsible for the accurate physical receipt, inspection, staging, packaging, documentation, and shipment of inbound and outbound materials. This position serves as the primary dock, carrier, and shipment documentation owner, ensuring that deliveries are inspected before acceptance, outbound orders are properly packed and released, shipment records are accurate, and freight issues are documented and communicated promptly. Description of Task and Responsibilities Receiving Unload trucks, parcel deliveries, vendor drop-offs, and LTL freight. Inspect all inbound freight and parcel deliveries before signing or accepting delivery, including visible damage, carton/pallet count, accuracy against packing slips when available, and shipment documentation. Note any visible damage, shortage, or exception on the BOL or delivery paperwork before signing. Photograph damaged freight, packaging, labels, and shipment condition before moving or unpacking material. Refuse shipments with severe damage when acceptance could compromise claim recovery or product usability, when appropriate. Move accepted LTL/parcel items to designated receiving, inspection, quarantine, staging, or storage locations. Notify Inventory Control and Procurement of shortages, overages, damage, or paperwork discrepancies. Damages must be routed through Procurement. Shipping Process UPS/FedEx part orders and LTL system orders. Pack, label, palletize, and prepare orders for shipment. Verify outbound shipments are complete, packed appropriately, labeled correctly, and approved through the required signoff process before carrier/customer release. Coordinate 3-tier signoff on all outbound orders. Create shipping documents, including bills of lading, packing slips, delivery slips, and shipment labels. Handle customer pick-ups and vendor drop-offs. Ensure long-length items, tubing, fragile items, and system components are packaged and staged to reduce damage risk. Shipping Area Supplies and Organization Maintain dunnage, box stock, pallets, labels, shrink wrap, and other shipping supply levels by coordinating with the Purchasing team. Maintain an organized dock, shipping area, staging area, and shipping desk. Keep outbound staging areas clearly identified and organized to prevent shipment mix-ups or premature release. Documentation Prepare shipment paperwork through freight carriers/brokers, Odoo, UPS, FedEx, and applicable LTL portals. Track inbound LTL shipments through the customer-rate LTL portal. Maintain signed delivery slips, bills of lading, packing slips, shipment labels, photos, tracking records, and delivery confirmations. Gather supporting photos and documentation for LTL and parcel freight claims; route damage claims through Procurement. Escalate missing, incorrect, or conflicting paperwork before shipment release or receipt completion. Coordination Communicate with drivers, vendors, carriers, and internal teams, including Procurement, Inventory Control, Sales, Project Management, and Logistics. Provide LTL and parcel freight costs, tracking numbers, shipment status, and delivery confirmations to appropriate departments. When contacting vendors about potential shortages or missing items, CC Procurement on all correspondence. Damages must be routed through Procurement. Safety & Equipment Follow safety protocols when handling materials, loading/unloading freight, and operating equipment. Operate forklift, hand truck, pallet jack, or other equipment to load, unload, transport, and store goods only when trained and authorized. Keep dock, aisle, staging, shipping, and packaging areas clean, organized, and free of avoidable hazards. Performs other shipping/receiving, warehouse, or operational duties as assigned. Required Education and Experience At least three years of related experience or a commensurate combination of education and experience. The position requires good, basic, clerical and administrative skills with emphasis on verbal and written communication skills (in English), good common sense; positive attitude; willingness to take initiative; and ability to maintain confidentiality. Ability to work accurately and quickly under company deadlines. Ability to operate computer hardware and to work with software applications. Communication skills
