Position Summary The Assistant Vice President (AVP) of Loan Operations directs the Bank's loan operations function, ensuring the accurate, compliant, and efficient processing, closing, and servicing of the loan portfolio. The AVP leads and develops the Loan Operations team, sets department priorities and workflow standards, serves as the primary escalation point for complex or exception-based loan transactions, and partners with lending, credit, compliance, and audit functions to strengthen controls and support the Bank's growth. This is a working leadership role: the AVP is expected to manage department operations directly while also carrying out hands-on processing work as needed. Essential Duties and Responsibilities Department Leadership & Oversight Manage the day-to-day operations of the Loan Operations Department, currently comprised of one direct report, including workload distribution, coverage planning, and cross-training to ensure continuity of service. Recruit, train, coach, and evaluate department staff; conduct performance reviews, set annual goals, and manage performance and development plans. Establish, document, and continuously improve loan operations policies, procedures, and workflow standards; ensure staff are trained on current requirements. Serve as the department's primary point of escalation for complex, high-risk, or exception-based loan transactions (consumer, commercial, residential, equity lines, payoffs / paid-outs). Own the accuracy and integrity of the loan documentation and booking process; review and approve work product for accuracy prior to closing and booking. Report on department performance, exception trends, and operational risk to the Vice President / Senior Lending Officer and, as requested, the Board. Loan Documentation & Closing Oversee preparation and accurate input of loan documents required to close approved loan transactions across all loan types. Coordinate with lending officers, customers, and third parties to gather required documentation, including ordering appraisals, surveys, title insurance, and flood determinations, and verifying insurance coverage and the Bank's mortgagee clause. Oversee preparation of closing packages and coordinate closing logistics with loan officers and closing agents. Assist in the preparation and review of credit approval forms for accuracy and completeness. Set up, organize, and maintain physical and electronic loan files in accordance with Bank policy and retention requirements. Post-Closing, Servicing & Compliance Own the Exception Report (tickler) process for post-closing documentation; review, follow up, and ensure timely resolution of outstanding items. Oversee inspections on construction loans and the gathering of information related to draw requests. Ensure timely follow-up on insurance renewals and maintain the tickler system for insurance tracking. Maintain and apply working knowledge of the Loan Policy, including lending authorities, and ensure department adherence to audit and dual control requirements. Oversee loan payment processing, loan processing checkbacks, and document scanning/indexing. Create, maintain, and analyze COGNOS reports to support department and management reporting needs. Coordinate department support for internal and external audits, escrow and tax reporting, and billing notice production. Prepare and present monthly/quarterly Board Reports related to loan operations. In the absence of a loan officer, take the loan request and route it to the appropriate loan officer. Support escrow, tax, HMDA, and HELOC-related projects, and lead special projects as assigned. Support the CRA Officer by gathering data and preparing reports for the Bank, regulatory agencies, auditors, and examiners. General Responsibilities Comply with state and federal regulations and the Bank Secrecy Act, including obtaining and notating required documentation for the Bank's Customer Identification Program and enhanced due diligence requirements. Comply with all established policies and procedures related to the protection of customer and Bank assets. Demonstrate passion for excellence with respect to treating and caring for customers with a positive, upbeat attitude. Answer telephones as needed and greet/acknowledge customers in the Bank lobby. Keep senior management informed of customer issues, operational risks, and department performance. Maintain good working relationships with all team members and cross-functional partners. Ensure that work areas are clean, secure, and well maintained. Maintain confidentiality of customer information. Project and maintain the positive image and reputation of Edison National Bank / Bank of the Islands to the public and co-workers. Adhere to state laws and governmental regulations, including Consumer Protection Regulations, the Bank Secrecy Act, and Community Reinvestment Act compliance. Attend schools, seminars, and meetings as needed to keep abreast of laws, regulations, and services. Adopt Edison National Bank's philosophies and adhere to the "Better Way" program. Education & Experience Bachelor's degree in Business, Finance, or a related field preferred; High School diploma or GED required. Minimum of 4-5 years of progressively responsible banking experience in loan operations, processing, or documentation, including demonstrated knowledge of residential, commercial, and consumer loan products. At least 1-2 years of prior supervisory, lead, or team coordination experience preferred. Knowledge & Skills Working knowledge of Microsoft Office products, including Word and Excel. Working knowledge of Jack Henry and/or Finastra/LaserPro preferred. Strong working knowledge of lending regulations, loan documentation requirements, and audit/dual control standards. High attention to detail and accuracy, with the ability to work well under pressure and manage competing deadlines. Demonstrated ability to lead, coach, and develop staff. Strong organizational skills with the ability to establish priorities across a department and meet timelines. Strong written and oral communication skills, including the ability to present to management and the Board. Sound initiative, alertness, and independent judgment in resolving exceptions and escalated issues. Perform other duties as needed or assigned by management. Travel to other office locations as required. Maintain regular attendance according to work schedule.
Pay:
$80,000.00 - $110,000.00 per year
