Job Description

Faith Comes By Hearing is seeking a highly organized, adaptable, and relational Administrative Specialist to support our Global Partnerships and Global Services teams. This position provides key administrative support to several ministry leaders, including the Chief Ministry Officer, Chief Innovation and Global Strategy Officer, and Global Partnership Director. The ideal candidate enjoys bringing organization to a fast-moving environment, can anticipate needs, exercise good judgment, and manage multiple priorities while serving people with professionalism and care.
Responsibilities include:
1. Provide administrative support to by Chief Ministry Officer, Chief Innovation and Global Strategy Officer, and Global Partnership Director scheduling meetings, scheduling travel, preparing advanced presentations, and assisting with projects representing multiple departments. . 2. Handle sensitive language and personnel data as requested. 3. Provide administrative assistance to the Global Partnerships (GP) department including coordination of various projects, spreadsheets, and products. Create needed spreadsheets, templates and systems to ensure efficiency. Run reports and queries as needed to GP staff and leadership. Manage communication and notifications in compliance with agreement expectations with GP partnerships. 4. Manage consistent communication with all GP Global staff as directed. 5. Help design and create a variety of presentations for a variety of audiences including internal staff, global staff, and partners. 6. Attend a variety of meetings, with wide ranging topics and attendees. Be responsible for organization of meetings, note taking, and following up on action items. 7. As requested, solve day to day operational and administrative challenges as directed. 8. Anticipate in advance needed meetings, administrative needs, logistics and pivots in schedule. 9. Visitors to Global Services and Global Partnership department: Assemble visitor schedules, provide excellent hospitality while hosting visitors, including being sensitive to overseas visitor needs/requirements. 10. Pick up visitors from airport, run errands as requested. 11. Assist with special projects as assigned. 1. Minimum 2 years' experience in a position requiring strong administrative and interpersonal skills 2. Have an innate ability to be discerning regarding complex or vaguely understood situations 3. Highly organized and highly flexible - able to handle multiple demands and competing priorities 4. Able to learn new information quickly, understand complex concepts and relationships 5. Familiarity and desire to effectively use AI tools a big plus. 6. Reliable 7. Consistent in making effective, timely decisions, even in the face of uncertainty. Able to seek appropriate input when making decisions 8. Very strong interpersonal skills and the ability to build relationships with staff & partners 9. Excellent written and verbal communication skills 10. Able to work constructively under stress and pressure and in ambiguous situations, able to give and receive feedback openly and nondefensively and adapts readily to change 11. PC proficiency - MS Word, Excel, Calendars and Outlook, Google docs & sheets, online file management/storage such as Dropbox. Familiarity with MS Access a plus. Familiarity and desire to effectively use AI tools a big plus.
