Full Job Description Position Overview:
The Bid Administrator ensures that all bid requirements are completed in a timely manner. The Bid Administrator maintains communication throughout the organization to ensure that the organization meets the criteria noted on the bid. Additionally, the Bid Administrator has a keen attention to detail and tracks the progress of each bid. Moreover, the Bid Administrator proactively retrieves bid information, and partners with the Chief Financial Officer to analyze bid information.
Responsibilities:
Reading and analyzing based on bid checklist procedure (determine whether it's a direct or distributor bid, submit samples, compare with previous bids, etc.) Researching required information on Acumatica. Use usage reports to provide data to the COO for deviated pricing requests and forecasting. Gathering required documents Maintain all online bid portals with up-to-date company information/documents. Checking online portals for the release of new bids, addendums, and updates Proactively attain recap on awards and analyze competitor information by reaching out to brokers, looking on websites, contacting the schools to obtain bid recaps. Collaborate with Finance/ Chief Financial Officer to analyze data received from bid recaps. Create price quote templates and maintain them up to date. Update pricing in Acumatica Filing and creating folders for bids accordingly. Attend food shows, vendor fairs and conferences. Collaborates with members of the sales, marketing, finance, legal, or product teams to ensure content is complete, accurate, and timely. Develops proposals, bids, quotations, or other documents describing organizational products. Works on projects/matters of limited complexity in a support role. Other duties as assigned. Requirements Computer competency - Excel, Word, and Outlook, Time management and prioritizing responsibilities Organization Constant communication with all departments as well as vendors and carriers Multitasking with strong attention to detail Excellent written and oral communication skills Ability to work efficiently, meet demanding deadlines and balance multiple tasks. Ability to communicate effectively with all levels of management within a team environment.
