Primary Objectives of Position:
The Entertainment Planner provides support for the Entertainment Manager and Design & Development team and is responsible for the upkeep and quality control of DCi's entertainment offerings to keep DCi creative, competitive with pricing and on the cutting-edge of the industry. This role maintains the entertainment tariff and other internal database systems to streamline processes, increase sales, efficiency and profitability and will interface with all departments to maintain and update information (tariff, vendors, pricing) and support program development. This position also leads entertainment proposal execution and provides support for name talent and large‑scale entertainment programs.
Major Areas of Accountability:
Entertainment Tariff & New Product Development Work in collaboration with Product Development Manager and Entertainment Manager to create, develop, update, manage and consistently improve the entertainment tariff system. Maintain entertainment tariff files including visual proposals, budget summaries and internal pricing sheets to ensure all departments have access to current details and pricing. Develop new proposal content and pricing for entertainment tariff files and save new items developed by the Design & Development team inappropriate tariff files. Management of the "entertainment" email account to include entering new vendors in dynamics, distributing to appropriate team members for further vetting and assisting with development with direction from the Entertainment Manager. Maintain partnership and relationship with our existing supplier partners and actively seek out new vendors for creative, cutting-edge products to keep offerings fresh and different from competitors. Obtain information and negotiate entertainment costing for DCi destinations nationwide. Work in collaboration with Entertainment Manager and Product Development Manager regarding vendor negotiations and ensuring DCi receives the best discounts and rates available. Update DCi systems and maintain vendor accounts in dynamics with contact information, vendor details and pricing and other pertinent details. Attend all D&D Meetings, proactively sharing strategy information and be a resource for new items, items which have changed or improved, or items we are no longer selling. Create and manage video links for entertainment offerings as needed. Proposal Development & RFP Support Resource to Design & Development team on top vendors and recommended musical and interactive elements to use in proposals. Support Entertainment Manager and D&D team with large-scale or complex entertainment proposals. Complete entertainment proposals as needed/assigned by Manager, Design& Development, including research & development, vendor outreach and availability, pricing and visual proposal content. Create vendor holds and track correspondence Name Talent & Production Support Join production calls as needed and remain copied on Entertainment Manager correspondence to act as backup support. Manage talent rider folders, including saving vendor communication and documentation. Prepare and maintain entertainment timelines, production and payment schedules Track calendars and reminders for talent payments and deadlines for Entertainment Manager Assist Entertainment Manager with fulfilling rider requirements, working in coordination with Account Managers and/or Account Facilitators. Support printing and on‑site needs, including timelines and copies of entertainment contracts. Assist with final invoice reconciliation related to entertainment and talent. Provide limited, as‑needed on‑site support to Entertainment Manager during peak workload periods or high‑complexity programs Additional Responsibilities Support Entertainment Manager with submitting expenses in timely manner Provide PTO coverage for Entertainment Manager as needed Attend industry events as needed to further education and knowledge Knowledge and Skill Required Bachelor's Degree or 3+ years equivalent experience in related field Excellent oral/written communication skills Strong knowledge of entertainment vendors, pricing structures, and production requirements Exceptional organizational skills and attention to detail Creativity, strong written communication and proposal formatting skills Extremely detail-oriented, with ability to manage multiple tasks & projects simultaneously Basic computer skills -proficiency in Internet, Microsoft Office, Excel and Access Ability to maintain a professional demeanor in all situations Enthusiastic, hard worker, team player Employee Benefits at DCi At DCi, our employees are the source of our success.
