Job Description

We are looking for a detail-focused Property Administrator to join a property management team in Tustin, California. This contract opportunity with potential for long-term placement is ideal for someone who enjoys keeping operations organized, supporting day-to-day property activities, and working across vendors, tenants, and internal teams. The position combines administrative coordination, invoice oversight, contract support, and reporting to help ensure properties run efficiently and accurately.
Responsibilities:
  • Manage a high volume of monthly invoices by reviewing details, submitting documentation on time, and monitoring payment progress for accuracy.
  • Organize billing records, coding information, and supporting documents within company systems to maintain complete and reliable files.
  • Assist with obtaining vendor quotes, preparing bid comparisons, and coordinating service agreements and other property-related contracts.
  • Serve as a point of contact for tenants, vendors, contractors, and internal partners by responding to questions and sharing updates in a clear and courteous manner.
  • Coordinate maintenance and repair activity across multiple properties, helping schedule vendors and track completion of requested work.
  • Monitor key dates for renewals, agreements, and ongoing projects to help keep deadlines and obligations on schedule.
  • Maintain orderly property documentation, compliance materials, and administrative files for easy access and audit readiness.
  • Provide day-to-day support to property managers through reporting, spreadsheet preparation, project follow-up, and general administrative assistance.
  • Support budgeting and accounting-related tasks by reconciling invoices, reviewing charges, and assisting with property financial tracking.
  • Prepare Excel-based reports and monitor facilities-related activity, including updates tied to plumbing, electrical, and general building maintenance projects.
