Full-Time Compensation:
$78,000-$92,000 annually, depending on experience Position Summary Burnt Mountain Services LLC is seeking a detail-oriented Contracts & Compliance Specialist to support our growing operations from our Fort Collins, Colorado office. This position will be responsible for the administration, review, tracking, and coordination of customer, vendor, and subcontractor agreements while helping ensure Burnt Mountain Services remains compliant with applicable state licensing, regulatory, insurance, and contractual requirements. The position will work closely with executive leadership, accounting, estimating, operations, safety, and outside legal counsel. The successful candidate will also provide support to the Accounting Department, particularly in the areas of customer credit management, accounts receivable, and contractual payment requirements. This is an excellent opportunity for someone who understands contracts but also enjoys building systems, tracking compliance requirements, identifying risk, and working across multiple departments. Key ResponsibilitiesContract Administration & Review Review customer Master Service Agreements (MSAs), subcontract agreements, vendor agreements, purchase agreements, work orders, and related contractual documents. Identify and flag potentially unfavorable or unusual contract provisions involving payment terms, indemnification, insurance, liability, warranties, termination, non-compete/non-solicitation provisions, retainage, pay-if-paid/pay-when-paid clauses, dispute resolution, and other commercial terms. Compare proposed agreements against Burnt Mountain Services' preferred contractual terms and established risk guidelines. Assist with preparation and coordination of contract redlines and proposed revisions. Coordinate with management and outside legal counsel when agreements require legal interpretation or elevated review. Maintain organized electronic records of executed contracts, amendments, renewals, and supporting documentation. Monitor contract expiration dates, renewals, notice requirements, insurance obligations, and other contractual deadlines. Ensure required agreements and documentation are completed prior to work commencing whenever applicable. Maintain and improve standard contract templates, contract checklists, and approval processes. Licensing & Regulatory Compliance Maintain a centralized schedule of company licenses, registrations, permits, and regulatory requirements. Monitor expiration dates and coordinate renewals before required deadlines. Assist with contractor licensing and business registrations in states and jurisdictions where Burnt Mountain Services operates. Research licensing and registration requirements as the company enters new markets or jurisdictions. Maintain supporting documentation required for licensing, registrations, prequalification programs, and customer compliance systems. Work with Safety, Operations, HR, Accounting, and management to obtain information needed for regulatory and customer compliance requirements. Assist with customer and vendor prequalification systems and compliance portals as needed. Vendor & Subcontractor Compliance Review subcontractor and vendor documentation for compliance with company requirements. Verify contracts, certificates of insurance, W-9s, licensing, and other required documents are current and complete. Track subcontractor agreement expiration dates and missing compliance documentation. Assist management with maintaining an approved and compliant subcontractor/vendor database. Coordinate with Accounting to help ensure appropriate documentation is received before payments are released when required. Credit & Accounts Receivable Support Assist the Accounting Department with customer credit management and accounts receivable oversight. Review customer credit applications and available credit information. Help establish and maintain customer credit limits in coordination with management and Accounting. Monitor outstanding customer balances against established credit limits. Identify customers approaching or exceeding approved credit limits and notify appropriate management before additional exposure is incurred. Assist with periodic review of customer creditworthiness and payment history. Monitor contractual payment terms and identify discrepancies between customer agreements, purchase orders, invoices, and actual payment practices. Assist with collections and AR follow-up when requested. Help identify contractual documentation needed to support collection efforts or resolve payment disputes. Process Improvement & Administration Develop and maintain contract, licensing, compliance, and credit tracking systems. Create recurring reports showing upcoming contract renewals, license expirations, outstanding compliance items, customer credit exposure, and other key risks. Help establish consistent approval processes for customer contracts, subcontractors, vendors, and new customers. Assist Accounting and executive management with special projects as needed. Identify opportunities to improve internal controls and reduce contractual, regulatory, and financial risk. Qualifications 3+ years of experience in contract administration, contract compliance, procurement, legal administration, construction administration, accounting, credit management, or a related field. Experience reviewing commercial contracts, MSAs, subcontract agreements, or vendor agreements strongly preferred. Construction, oil and gas, energy, industrial services, transportation, or similar industry experience preferred. Strong attention to detail and ability to identify inconsistencies, deadlines, and potential contractual risks. Ability to understand and summarize complex contract language for management. Strong organizational and document-management skills. Comfortable working with Accounting and understanding accounts receivable, payment terms, credit limits, and customer account balances. Strong written and verbal communication skills. Ability to manage multiple priorities and deadlines across several states and business divisions. Proficiency with Microsoft Excel, Word, Outlook, and electronic document-management systems. Bachelor's degree in business, accounting, finance, construction management, legal studies, or a related field preferred but not required with appropriate experience. Preferred Experience Experience with any of the following would be particularly valuable: Construction or oil & gas service contracts Master Service Agreements Subcontractor agreements Contract redlining and negotiation support Multi-state contractor licensing Customer/vendor prequalification systems Insurance and certificate-of-insurance requirements Accounts receivable and commercial credit Mechanics lien or payment documentation Contract management software or ERP/accounting systems What We Are Looking For The ideal candidate is someone who is comfortable taking ownership of the company's contract and compliance tracking processes rather than simply processing paperwork. We are looking for someone who can recognize when something does not look right, investigate the issue, communicate the risk clearly, and make sure the appropriate people are involved before the company takes on unnecessary contractual, regulatory, or credit exposure.
Compensation & Benefits Salary Range:
$78,000-$92,000 annually, based on qualifications and experience. Burnt Mountain Services provides 100% employer-paid employee medical coverage along with additional company benefits. This is primarily an in-office position based in Fort Collins, Colorado .
