We are seeking a detail-oriented and proactive Project Assistant to support our construction operations team. This role is responsible for managing contract documentation, maintaining accurate project data across systems, and ensuring consistent use of company processes within Sage Intacct and Procore. The ideal candidate is a quick learner with a positive, can-do attitude and experience in construction or contract management systems.
Job Overview:
We are seeking a detail-oriented and proactive Project Assistant to support our construction operations team. This role is responsible for managing contract documentation, maintaining accurate project data across systems, and ensuring consistent use of company processes within Sage Intacct and Procore. The ideal candidate is a quick learner with a positive, can do attitude and experience in construction or contract management systems.
Key Responsibilities:
Enter and manage Subcontracts, Purchase Orders, and Change Orders in Sage Intacct, including entry, updates and audits Process Owner/Prime Contract Change Requests and Change Orders within Sage Intacct Upload and maintain project cost codes, including preparing and manipulating spreadsheet data for import into Procore Review and correct cost code descriptions and project data for accuracy and consistency Maintain and update tracking logs for all incoming contracts and documentation, noting status changes as needed Update status and progress of contracts in Sage Intacct as documents move from issued to executed Distribute contracts and related documents to vendors directly from Sage Intacct when ready to proceed Audit Sage Intacct records to identify and resolve missing or incomplete items Follow up with vendors to obtain fully executed Subcontracts, Purchase Orders, and Change Orders Process deductive change orders to assist in closing out commitments Coordinate with compliance teams for new vendor setup and vendor information updates Enter project setup details including owner information, project address, and engineer contacts into Sage Intacct Connect contracts to projects within Procore as required Utilize Microsoft Forms to gather and document contract input data; maintain organized records for reference Support and enforce standardized processes by encouraging team adoption of Sage Intacct workflows over manual methods Assist in refining and improving internal processes as systems and workflows evolve Requirements Experience in construction administration, contract management, or similar role preferred Familiarity with Sage Intacct, Procore, or similar project/accounting systems is highly desirable Strong attention to detail and data accuracy Proficiency in Microsoft Excel and data manipulation Excellent organizational and follow-up skills Strong communication skills and ability to collaborate across teams Ability to adapt in a fast-paced, evolving environment Construction industry experience highly preferred Experience with Contract Management Systems Proactive, problem solving mindset Confident, dependable, and eager to learn and grow Why Join L7 Construction, Inc.?
