Description This is a highly responsible and independent administrative position in the Office of Contracts & Immigration. To perform the duties of this position, the incumbent must be capable of using independent judgment and initiative, and upholding confidentiality regarding legal and administrative matters managed in the Office of Contracts & Immigration. Incumbent is responsible for activities involving contracts. These activities include but are not limited to maintaining the contract repository website, processing Professional, Personal and Consulting services contracts, along with short-term agreements. This position requires proficiency in computer programs including Microsoft Excel and Word to maintain contract information. Additionally, the incumbent should have knowledge of and be capable of interpreting all University Policies and Procedures (such as Administrative Directives, Chancellor's Memoranda, PM's issued by the President, etc.) and monitor, implement and enforce these policies as pertinent. This position is supervised by the Contract Manager of Contracts and Immigration. Regular attendance is required to perform the functions of this position. Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur that customer satisfaction is met at all times. Essential Position Functions Duties 88% - Contracts Craft, assess and execute a wide variety of Professional, Personal and Consulting Services contracts, which includes all resident and fellow rotation agreements. Respond to Contract Request Forms submitted from internal departments and ensure all resident and fellow rotation agreements are drafted and executed promptly and correctly. Organize and manage the short-term contract (under $10,000.00) process which is generally used for seminars or brief visits, which includes the payment requisition processing. Maintain records and logs of contracts as required by State statutes and regulations. Maintain records for correspondence and documentation in relation to established contracts and those in progress. Maintain evaluation forms on all contracts. Distribute copies of fully executed agreements and amendments as required. Continually monitor contract activity in the SAl360/Compliance 360 system; work with other departments as needed with this system, which includes close-out, extensions, and renewals. Solve any contract related problems that may arise with internal institution parties and with outside parties. 10%- Administrative Process updates to the Contracts & Immigration web page. 2% Miscellaneous. Perform additional duties and responsibilities as requested by the Contract Specialist (Manager). Qualifications The applicant must meet the following: Bachelor's degree in business administration or related field and two years of related experience. Demonstrate proficient computer skills, including but not limited to Microsoft Word, Excel and Outlook. Effective written and oral communication skills. Preferred Qualifications Two years' prior work experience with contracts and legal documents in a professional setting Experience in higher education Experience with SAl360/Compliance 360 software
