By serving as the bridge between internal teams and external partners, you ensure contractual obligations are understood, risks are addressed early, and project records remain accurate and compliant. Your ability to communicate effectively and manage complex documentation plays a key role in driving successful project outcomes. Core responsibilities of our
Contracts Administrator:
  • Review contracts thoroughly to identify scope, billing terms, retainage, insurance, bonding, CCIP/OCIP, lien requirements, payment terms, and other contractual obligations.
  • Coordinate the contract approval and execution process, ensuring required approvals are obtained before work proceeds.
  • Ensure all required documentation is collected, accurate, and properly maintained in the appropriate project files and systems.
  • Coordinate bonds, certificates of insurance, endorsements, waivers, and other compliance requirements.
  • Review and process change orders and contract modifications, ensuring appropriate approvals and documentation are obtained.
  • Coordinate with Accounting and Project Management to ensure contract information is accurately reflected in internal project systems.
  • Communicate with customers, General Contractors, Project Managers, Sales, and internal departments regarding contractual requirements and outstanding documentation.
  • Monitor project compliance and proactively identify missing information.
  • Maintain organized and audit-ready contract records throughout the project lifecycle.
  • Support Accounting and Accounts Receivable by ensuring contractual billing and payment requirements are clearly documented and understood.
  • Help establish and maintain standardized contract administration procedures to improve efficiency, accountability, and consistency. Desired Skills and Experience
  • 3-5 years of experience in construction and contracts administration preferred
  • Computer literacy with an understanding of widely used industry software (i.e., Microsoft office, Word, Excel, etc.)
  • Good verbal and written communication skills
  • Excellent numerical and logical reasoning skills
  • Ability to establish and maintain effective working relationships with external and internal clients
  • Highly organized with strong analytical skills.
  • Duties require good judgment, initiative and ability to deal with last-minute changes or critical issues.
  • Ability to work in a faced passed environment on multiple projects
