Company Overview RAPIER is a Rockwall-based commercial and industrial contractor delivering electrical construction, service, controls and maintenance across Dallas-Fort Worth, and is growing into a full MEP contractor with mechanical and plumbing services. Job Overview We are seeking an energetic and detail-oriented Operations Administrator to join our dynamic team. In this vital role, you will oversee daily administrative functions, coordinate project logistics, manage vendor relationships, and support team operations to ensure seamless project execution. Your proactive approach and organizational skills will help drive efficiency across our operations while maintaining excellent client and vendor communication. Responsibilities Project & Administrative Support Prepare, maintain and audit job-specific and client-specific documentation, including but not limited to permitting, bonding applications, contracts, submittals, and compliance records. Assist project managers and field staff with administrative needs such as scheduling, procurement coordination, and job tracking. Maintain organized digital files for each project, ensuring accurate and accessible documentation. Financial & Billing Duties Process bi-monthly client billing, including gathering backup documentation, lien releases, time sheets, and purchase order reconciliation. Generate, manage, and track internal and external purchase orders, matching them to invoices and appropriate accounting co. Support basic payroll functions by collecting and verifying time entries, allocating labor to appropriate jobs, and forwarding data to the payroll processor. Monitor accounts receivable and perform collections follow-up to ensure timely payment from clients. Contract Management Oversee and track subcontracts, ensuring all documentation, amendments, insurance, and compliance items are current. Administer and update Prime Contracts and Master Service Agreements (MSAs), maintaining version control and key date tracking. Act as the central point of contact for Certificates of Insurance (COIs), ensuring vendor and subcontractor compliance prior to jobsite mobilization. Compliance & Document Control Ensure all contract-related documents meet internal and client compliance standards. Track contract milestones, expirations, and renewal deadlines. Interface with clients, vendors, and staff to resolve documentation issues and ensure contractual clarity. Skills Proven experience in office management or administrative roles within a professional environment Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and spreadsheets for data analysis and reporting Familiarity with accounting software such as QuickBooks or similar financial tools Excellent communication skills for effective client interaction and team collaboration Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced setting Experience in event planning, vendor management, and schedule management Knowledge of human resources processes including payroll administration and employee onboarding Ability to handle confidential information with discretion and professionalism Technical proficiency in office equipment such as multi-line phone systems and front desk operations Join us as an Operations Administrator to be a key part of our mission-driven team! Pay:
$55,000.00 - $65,000.00 per year
