Our Texas facility is growing quickly, and we're looking for a detail-oriented and proactive Operations Administrator to help us keep everything running smoothly across the business. As an Operations Administrator, you'll be the organizational backbone of our company. This position ensures accurate documentation, efficient scheduling, and smooth coordination across all cross-functional teams—including production, engineering, purchasing, finance, and administration. You'll also manage light bookkeeping and play a vital role in keeping processes efficient and communication clear across departments. Key Responsibilities Print and distribute engineering drawings, work orders, and quality documents Maintain and update the production schedule Track and enter production hours and job costing data using Excel and ERP systems Coordinate document control, change notices, and workflow updates for production and engineering Provide general administrative support across all cross-functional teams Track and process purchase orders, invoices, and expense reports Maintain organized digital and physical records for production and technical documents Assist with vendor and customer communications as needed Understand and comply with all PPE requirements at all times, work safely every day and encourage all team members to do the same Required Qualifications Minimum 2 years of administrative or operations support experience in manufacturing, construction, or a technical/industrial environment College-level education or equivalent work experience in office administration or operational support Intermediate proficiency in Microsoft Office (especially Excel); ERP experience preferred Basic bookkeeping skills is an asset; help process vendor invoices and sales invoice in ERP Strong time-management skills with the ability to handle multiple priorities under pressure Exceptional attention to detail and accuracy Excellent written and verbal communication skills Proven ability to work independently and collaboratively with technical teams Always maintain confidentiality and professionalism
