Job Description

Contract Administrator Pay:
$18.00 - $22.00 per hour (DOE)

Full-time | In-Person __________________________________________________________ About Us Benchmark Signs is an established Division 10 Specialties Signage Subcontractor serving the DFW and surrounding Texas markets. We are seeking a detail-oriented Contract Administrator to support our construction and project administration operations. This role is a key support position responsible for contract administration, project billing, compliance documentation, and maintaining accurate project records from contract execution through closeout. The ideal candidate is highly organized, detail-oriented, comfortable reading and interpreting construction contracts, and able to manage multiple projects and deadlines in a fast-paced environment. __________________________________________________________ Essential Job Functions The key function of the Contract Administrator is supporting Senior Office Administration in a variety of day-to-day activities. Responsibilities will include, but are not limited to: Perform a variety of clerical duties such as answering phones when needed, filing, printing, copying, and scanning. Review and interpret contracts to understand project requirements, contractual responsibilities, obligations, and potential risks or liabilities. Maintain accurate contract and project documentation through the duration of awarded contracts Prepare and submit AIA pay applications and required supporting documentation Manage client billing Prepare and submit certified payroll reports Maintain Certificates of Insurance and other compliance documents in accordance with contract requirements Prepare and track lien waivers, affidavits, bills of sale, warranties, and other project-specific documentation Process and track purchase orders, change orders, submittals, RFIs, and closeout documentation Monitor billing deadlines, contract requirements, and outstanding administrative items across multiple active projects Maintain accurate project records and ensure proper document retention Communicate with general contractors, project managers, subcontractors, vendors, and internal departments via email and phone Assist with accounts receivable and basic project-related accounting functions Utilize QuickBooks for accounting and project-related functions Perform additional administrative and contract support duties as assigned __________________________________________________________ Knowledge, Skills & Abilities Strong reading comprehension with the ability to read, understand, and interpret construction contracts Strong knowledge of construction billing processes and certified payroll Working knowledge of QuickBooks Proficiency in Microsoft Office applications (Excel, Word, Outlook) and Adobe Acrobat Experience working with Procore, Spectrum, GC Pay, and Textura preferred, but not required Strong attention to detail and ability to identify discrepancies, missing documentation, and contract requirements Excellent written and verbal communication skills Ability to manage multiple projects, deadlines, and shifting priorities Strong organizational and time-management skills Ability to work independently while supporting a team environment Comfortable working under pressure and meeting strict billing and contract deadlines Professional, proactive, and solutions-oriented approach __________________________________________________________ Qualifications Minimum 3-5 years of experience in construction administration, contract administration, or a related construction industry role strongly preferred Demonstrated experience reading, interpreting, and working with construction contracts and contract documents, including the ability to understand contractual responsibilities, obligations, and potential risks or liabilities, is required. Previous experience with construction billing and AIA pay applications strongly preferred Experience with certified payroll and prevailing wage projects preferred Previous experience working with general contractors, subcontractors, and construction project teams preferred High School diploma or GED required __________________________________________________________ Pre-Employment Requirements All candidates offered a position must successfully pass: Drug screening Criminal background check Driving record check
