Full-Time, Exempt Position Summary Stapp Construction is seeking a detail-oriented and proactive Contract Administrator to oversee the preparation, review, execution, tracking, and administration of contracts, subcontracts, purchase orders, change orders, and related compliance documentation throughout the project lifecycle. This role helps ensure agreements are accurate, complete, properly approved, and aligned with company policies, project requirements, insurance standards, and applicable documentation procedures. The Contract Administrator will work closely with Project Managers, Estimating, Accounting, subcontractors, suppliers, and leadership to support timely contract execution, reduce administrative risk, maintain organized records, and promote consistent communication across active projects. The ideal candidate is highly organized, dependable, professional, and comfortable managing multiple priorities, deadlines, and confidential documents in a fast-paced construction environment. Essential Duties and Responsibilities Draft, review, issue, and administer contracts, subcontracts, purchase orders, amendments, and change orders in accordance with company policies and project requirements Verify that contract documents include appropriate scope language, exhibits, pricing, insurance requirements, bonding, licenses, compliance documentation, and approval signatures Track contract execution status and follow up with subcontractors, suppliers, clients, and internal stakeholders to obtain completed agreements in a timely manner Maintain a complete, accurate, and organized contract management system for agreements, amendments, change orders, correspondence, approvals, and supporting documentation Review and process change orders, ensuring required backup, pricing, scope clarification, authorization, and approval documentation are complete before execution Monitor contract compliance requirements, including certificates of insurance, endorsements, licenses, lien waivers, warranties, safety documents, and other required submissions Coordinate with Project Managers, Estimating, Accounting, and Legal or outside counsel as applicable to resolve contract discrepancies, missing documentation, scope questions, or dispute-related issues Identify potential contractual, documentation, insurance, compliance, or payment-related risks and escalate concerns to management with clear supporting information Assist with internal and external audits related to contract documentation, insurance records, change orders, lien waivers, compliance files, and project closeout materials Prepare, organize, and distribute contract-related reports, status updates, logs, and documentation summaries to support project teams and leadership decision-making Communicate professionally with subcontractors, vendors, clients, and internal departments to resolve missing documents, incomplete forms, insurance issues, approval delays, and contract questions Support other contract administration, project coordination, accounting support, and administrative functions as needed to ensure successful project execution and closeout This job description is intended to outline the general nature and level of work being performed and is not an exhaustive list of all duties, responsibilities, and requirements. Qualifications Strong understanding of construction contracts, subcontract administration, change orders, insurance requirements, lien waivers, compliance documentation, and project closeout processes Proven organizational, administrative, and time-management skills, with strong attention to detail and the ability to manage multiple deadlines simultaneously Sound critical-thinking, problem-solving, and follow-through skills, with the ability to identify documentation gaps and escalate concerns appropriately Excellent verbal and written communication skills, with the ability to work professionally with internal teams, subcontractors, suppliers, clients, and leadership Proficiency in Microsoft Office and general document management systems; experience with Computer Ease, Primavera P6, B2W, or similar construction software is a plus but not required Bachelor's degree in construction management, business administration, engineering, or a related field preferred; equivalent construction administration or contract management experience will also be considered Ability to maintain confidentiality, exercise sound judgment, communicate clearly, and consistently follow company procedures while supporting multiple projects and deadlines Stapp Construction is an equal opportunity employer.Pay:
