Job Description

You have run a service board before. You know the difference between a schedule that looks full and a schedule that reflects reality. We are looking for a lead dispatcher who owns the board. Every call covered, every stalled job moving, and the customer hearing from us before they call us.
ABOUT US
Taylor Sales and Service is Alabama's authorized service provider and distributor for Taylor Company and the full family of Middleby brands. Forty years in this state, built on a 24-hour response commitment, because downtime in a commercial kitchen is not an option. Fifteen technicians in fifteen trucks across two territories. Our customers include restaurants you already know and local places you may not. ——————————————————————————————
THE SEAT
You own the dispatch board. Calls come in by phone, email, text, and third-party platforms, and you put them with the right technician at the right time. You also carry preventive maintenance schedules with compliance windows, installations, and every customer waiting to hear where their job stands. The standard is short. Every call is covered, every stalled job is moving, and the customer hears from us before they call us. The third one is the hardest and the one that matters most. You work alongside a second dispatcher on a staggered schedule so we are ready to serve across the full business day. You will develop that seat. You work daily with parts, the service manager, and the technicians in the field, and you report to the Operations Manager. ——————————————————————————————
WHAT YOU OWN
Schedule integrity. Every call assigned, sequenced, covered. No unassigned orders. No duplicate PM orders. A schedule that reflects reality rather than intent.
  • Priority and escalation. Priority set by customer impact and contract obligation. Stalled calls escalated, not left to age.
  • Coverage gaps, early. A tech out, a territory short, a day that will not fit, raised before it becomes a missed commitment.
  • Parts-pending jobs. You create the parts order in Southware from the technician's notes, verify it against the job, keep status current, and advance the service order only against work actually done. Non-routine parts identification goes to the Service Manager or Parts Manager to resolve. No job sits still with nobody watching it.
  • The proactive call. Any job stalled past its committed window gets a documented customer contact. You owe the customer the call.
  • Compliance. PM windows met. Portal and third-party close-outs on time. Service inbox worked daily, parts-received calls cleared before you leave.
  • The second dispatch seat.
Show the standard, review the work, close the gaps. ——————————————————————————————
WHAT THIS JOB IS NOT
Worth being clear, because a dispatch board can end up carrying everything nobody else claimed.
  • Not managing technicians. The Service Manager and Lead Techs own performance and coaching. You coordinate the day and hold the schedule.
  • Not sourcing or identifying parts. You create the order in the ERP from what the technician reports. When the part is not clear, disputed, or non-routine, the Service Manager or Parts Manager resolves it.
  • Not diagnosing equipment. You capture the symptom accurately and get it to someone who can.
  • Not designing the service process.
You operate it, and you have a voice in changing it. ——————————————————————————————
YOU WILL FIT HERE IF
A call waiting on a part is a call you are still watching.
  • You would rather call a customer with bad news than let them find out by calling us.
  • You can tell a customer their secondary unit waits while a restaurant that cannot open goes first, and hold that line when they disagree.
  • You are comfortable bringing another dispatcher along, showing the standard rather than doing it for them.

WHAT YOU NEED
Several years dispatching in a service trade. Restaurant equipment, HVAC, refrigeration, plumbing, electrical, security, or similar, coordinating a group of field technicians.
  • Demonstrated ownership of a service board. Priority, coverage, escalation.
  • Outstanding organizational and multitasking ability. This is the core skill and everything else is secondary to it.
  • Sound judgement. You will make priority calls without checking first, and defend them.
  • Comfortable in an ERP or field service system, with fast, accurate data entry.
  • High school diploma or equivalent.
  • Background check and drug screening prior to hire.
HELPS, BUT NOT REQUIRED
  • Commercial foodservice or refrigeration dispatch
  • Customer portals or third-party work order platforms
  • Preventive maintenance compliance windows
  • Prior lead, supervisor, or training experience.
