Job Description
Job Summary M3 Mechanical is seeking a highly organized, service-minded Service & Scheduling Coordinator to support our service and construction operations. This role is a central point of coordination between customers, field technicians, installers, project teams, and office staff. Responsibilities include customer communication, dispatching service calls, scheduling preventive maintenance, coordinating technician assignments, scheduling installers for construction projects, maintaining accurate job and customer information, and handling travel arrangements for field personnel when out-of-town work is required. The right candidate is professional, calm under pressure, highly organized, and able to manage multiple moving parts in a fast-paced environment while delivering excellent internal and external service. - Answer incoming calls and emails in a professional, friendly, and responsive manner
- Serve as a primary point of contact for customer scheduling, updates, and service-related needs
- Keep customers informed regarding appointment timing, technician arrival windows, delays, and service status
- Follow up with customers on quotes, service completion, and satisfaction Maintain accurate customer notes, service details, access requirements, and communication records in company systems Help customers understand service needs, project timing, and next steps Assist in the preparation and coordination of service estimates and repair proposals, ensuring accuracy, completeness, and timely delivery to customers in collaboration with service management and field teams Service Dispatch and Technician Scheduling Schedule service calls, maintenance visits, and other field activities based on priority, technician skill set, location, and availability Coordinate urgent and emergency service calls to ensure timely response Provide technicians with complete job details, including scope, site contacts, location, access information, materials, and relevant job history Work closely with service managers, technicians, and office staff to adjust schedules throughout the day as priorities shift Help ensure preventive maintenance calls and recurring work are scheduled on time Collaborate with team members to avoid scheduling conflicts and improve field efficiency Construction Installer Scheduling Coordinate and schedule installers for active construction projects based on project timelines, manpower needs, crew availability, and priorities Work closely with project managers and operations leaders to align labor scheduling with project milestones and customer commitments Adjust installer schedules as project conditions, manpower needs, and jobsite priorities change Communicate schedule changes clearly and promptly to installers, supervisors, and internal teams Help ensure labor is deployed efficiently across projects to support production goals and timely execution Travel and Administrative Coordination Arrange flights, hotels, rental cars, and related travel logistics for installers and technicians working out of town Build and communicate travel itineraries clearly to field personnel and managers Coordinate travel timing with project schedules, dispatch needs, and field start dates Make travel changes as needed due to shifting schedules, project delays, or customer requirements Track confirmations, travel costs, and related scheduling details accurately Internal Coordination Communicate throughout the day with management and staff to stay aligned with changing priorities Coordinate with service, construction, and operations teams to support customer commitments and project execution Escalate urgent issues, customer concerns, manpower conflicts, or scheduling risks quickly and appropriately Support a positive, professional office culture through teamwork and clear communication Qualifications 3+ years of experience in customer service, dispatching, scheduling, service coordination, or operations support Strong communication skills by phone, email, and in person Excellent organizational skills and attention to detail Ability to manage multiple priorities in a fast-paced environment Professional, calm, and solutions-oriented under pressure Experience coordinating field labor or service scheduling is strongly preferred Experience in HVAC, mechanical contracting, construction, or a related trades environment is strongly preferred Experience coordinating travel arrangements is a plus Proficiency with Microsoft Office and scheduling, dispatch, or ERP software What We're Looking For A person who naturally serves others and takes ownership Someone who communicates clearly, professionally, and with empathy A strong multitasker who can shift priorities without losing accuracy A dependable team player who supports both customers and coworkers Someone who represents M3 Mechanical well in every interaction Performance Expectations Success in this role will be measured by: Timely and accurate scheduling of service calls, preventive maintenance, and construction labor Clear communication with customers, technicians, installers, and internal teams Accurate job notes and scheduling records Responsiveness to changing priorities and field needs Effective coordination of travel logistics when required Consistent support of M3 Mechanical's culture, professionalism, and customer relationships Why Join M3 Mechanical Stable, growing company Team-oriented culture Meaningful role supporting both service and construction operations Opportunity to make a direct impact on execution, customer experience, and field efficiency Work with a company that values integrity, accountability, and service
