Job Description
Job Overview We are seeking a proactive and detail-oriented Night Dispatch Assistant to join our logistics and transportation team. In this vital role, you will coordinate and manage the dispatching of freight, vehicles, and drivers during overnight hours to ensure smooth and efficient road transportation operations. Your expertise in transportation management systems, communication skills, and organizational abilities will help maintain optimal fleet performance, uphold safety standards, and deliver exceptional customer service. This position offers an exciting opportunity to contribute to a dynamic supply chain environment while working during night shifts that support our 24/7 logistics network. Duties Monitor and coordinate vehicle dispatching using transportation management systems and vehicle dispatch software to optimize fleet utilization. Communicate effectively with drivers, carriers, and internal teams via multi-line phone systems and internal communication channels to relay instructions, updates, and resolve issues promptly. Manage phone call inquiries with professionalism, demonstrating excellent phone etiquette while addressing customer needs and providing real-time support. Enter accurate data into logistics databases, including shipping & receiving records, freight details, and vehicle tracking information using Microsoft Office tools and Oracle Transportation Management. Ensure compliance with DOT (Department of Transportation) regulations by verifying driver documentation, hours of service logs, and safety protocols during dispatch activities. Coordinate road transportation operations by planning routes, tracking shipments via GPS technology, and analyzing data for efficiency improvements. Support shipping & receiving processes by scheduling pickups/deliveries, managing internal communication for timely deliveries, and maintaining organized records for audit purposes. Qualifications Proven experience with transportation planning, dispatching, or logistics coordination in a fast-paced environment. Strong knowledge of GIS (Geographic Information Systems), GPS technology, and transportation management systems like Oracle Transportation Management or similar platforms. Excellent organizational skills with the ability to multitask efficiently across multiple systems while maintaining accuracy in data entry. Exceptional communication skills—both verbal and written—with a focus on clear phone call management and professional customer service. Familiarity with road transportation operations, freight handling procedures, shipping & receiving protocols, and fleet management practices. Ability to adhere to DOT regulations regarding driver hours of service, safety standards, and compliance documentation. Proficiency in Microsoft Office Suite (Word, Excel) along with experience using vehicle dispatch software or transportation management tools. Strong analysis skills to interpret logistical data for operational improvements; attention to detail is essential. Demonstrated ability to work independently during night shifts while maintaining high levels of organization and efficiency. Physical Requirements Must be able to lift up to 30 pounds. Ability to sit or stand for long periods of time. Must be able to lift, push, and pull boxes of files as part of daily responsibilities.
