We are looking for an organized, dependable Dispatch & Operations Coordinator to support our dispatcher and operations manager with the daily coordination of our eight-tractor fleet. This is a hands-on position focused on keeping load information accurate, drivers and customers informed, equipment status current, and paperwork moving through to billing. The right person follows through without repeated reminders, communicates clearly, and identifies problems before they become service issues. Key Responsibilities Support daily dispatch operations. Enter and update loads in our transportation management system, confirm pickup and delivery appointments, verify load details, and maintain accurate shipment status information. Communicate with drivers and customers. Handle routine check-ins, provide arrival and delivery updates, confirm instructions, and promptly notify the dispatcher or operations manager of delays, missed appointments, or other issues. Collect and organize load paperwork. Obtain bills of lading, signed proof of delivery, receipts, and other required documents. Follow up on missing information and prepare complete load files for accounting. Document additional charges. Track arrival and departure times, detention, layovers, canceled loads, and other potential charges. Gather supporting documentation and submit it for review and billing approval. Assist with fleet and operations coordination. Maintain current tractor and trailer status, coordinate approved maintenance appointments, follow up on open repairs, and track upcoming inspections and document renewals. Escalate safety, equipment, and driver-hours concerns to the appropriate manager. Provide administrative and backup dispatch support. Maintain organized records, track open tasks, prepare daily handoffs, and cross-train to provide dispatch coverage within established procedures and approval limits. Qualifications At least one year of experience in trucking, dispatch support, freight coordination, or a closely related transportation-office role. Strong organizational skills, accurate data entry, and the ability to manage several time-sensitive tasks without losing track of details. Professional phone, email, and written communication skills, including the ability to work effectively with drivers, customers, brokers, and vendors. Ability to follow established procedures, work independently on assigned responsibilities, and recognize when a problem needs to be escalated. Experience with flatbed, step-deck, or power-only operations is preferred. Familiarity with Alvys, Motive, or similar transportation and fleet-management systems is a plus. Comfort with spreadsheets, shared calendars, and electronic documents is expected. A college degree or commercial driver's license is not required. What Success Looks Like Load information stays current. Drivers and customers receive timely updates. Missing paperwork is followed up on promptly. Additional charges are supported with clear documentation. Maintenance and operational issues are brought to the team's attention early. Most importantly, you take ownership of assigned tasks and follow them through to completion. Schedule, Training & Compensation Training schedule: During the initial training period, expected to last approximately 90 days, the regular schedule will be Monday through Friday . The training period may vary based on the employee's progress and readiness to handle assigned responsibilities independently.
Schedule after training:
Once fully trained, the position may transition to a schedule that includes regular weekend shifts, including Saturdays and/or Sundays , to provide coverage and support for our drivers. Applicants must be available for weekend work after training. This position is not guaranteed to remain a Monday-through-Friday role. This is a full-time position with an anticipated schedule of approximately 40 hours per week. The ongoing schedule, including workdays, hours, and scheduled days off, will be established based on operational needs and communicated in advance. Starting pay is $26-$28 per hour , based on relevant experience and qualifications. A performance review will be conducted after approximately 90 days. Any compensation adjustment will depend on performance and business needs and is not guaranteed.
