Job Description

About Us We are Hutch Electric, a growing, dynamic, and highly trusted Electrical Contractor in Southwest Florida. As our field operations expand, we are looking for a sharp, tech-forward, and driven professional to join our core office team. We already have a dedicated office administrator managing daily transactional tasks; this new role is designed for a strategic, organized professional who can master our workflow and quickly become the right hand to our General Manager. The Opportunity This is not a basic data-entry or receptionist role. This position is a direct pathway into an Office / Operations Manager leadership role. If you are an experienced administrative professional, service coordinator, or operations specialist who thrives on building efficient systems, managing logistics, and taking full ownership of your workspace, this is the perfect career accelerator. What You'll Do Working directly alongside the General Manager and our established office administrator, you will streamline our field and administrative workflows.
Your responsibilities will include:
Service Fusion Launch & Optimization:
You will hit the ground running exactly as our new Service Fusion platform goes live. Rather than wasting time learning a legacy scheduling system, you will step right into our future state—owning the live rollout, troubleshooting initial "snafus," and working with the field team to refine dispatch grids.
Modern Estimating & Pipeline Management:
Coordinate our modernized estimating pipeline entirely inside Service Fusion. You will assist our field managers to synthesize field notes, incorporate their work in custom Excel models, leverage AI tools to polish professional project scopes, and send/track all customer estimates directly through the Service Fusion platform.
Financial Data Management:
Oversee invoicing and financial data syncing between Service Fusion and our core accounting system, QuickBooks Desktop Enterprise , while helping evaluate a future migration to QuickBooks Online.
Logistics & Dispatch Coordination:
Strategically manage, schedule, and dispatch our team of field electricians to maximize productivity and customer satisfaction and respond dynamically to client needs.
Permitting Ownership:
Lead the end-to-end permitting process across Southwest Florida municipalities (including Naples, Collier County, and Lee County), ensuring smooth processing. Who You Are While prior electrical or construction industry knowledge is a plus, it is not required—we will provide deep training on our industry specifics. We are strictly looking for the following core traits:
Proactive & Solution-Oriented:
You don't just find problems; you bring solutions to the table. You naturally look ahead proactively to prevent logjams in everyday operations.
Tech-Savvy System Builder:
You are highly proficient with modern computer applications and cloud-based systems. Extensive experience with Excel and QuickBooks is required. Prior experience with Service Fusion, Field Edge, ServiceTitan, or similar cloud based Field Service Management (FSM) tools is a massive plus. Open to testing AI to help streamline workflows.
Logistically Sharp:
You have an innate ability to organize schedules, map routes, or coordinate moving clients and appointments efficiently under pressure.
Strong Communicator:
Exceptional professional verbal and written communication skills with the confidence to lead client interactions and manage field personnel. Direct communication proficiency is a must.
Growth-Minded:
Possess a strong track record of taking on increasing responsibility and a desire to manage office operations autonomously.

We are currently migrating our entire workflow to Service Fusion and optimizing our estimating pipeline using Service Fusion, our models and AI tools. Please briefly describe a time when you had to learn, deploy, or clean up data within a new software system or CRM platform. What challenges did you face, and how did you handle it? This role takes full ownership of coordinating electrical permits across Southwest Florida municipalities (e.g., Collier, Lee, Naples, Bonita, Estero, etc.). Briefly outline your familiarity with local municipal permitting portals or electronic filing processes. As noted, this search is highly selective for a future Operations Manager who can act as the General Manager's right hand person. What specific experience do you have that proves you can operate autonomously without being micro-managed?
