We are seeking a service dispatcher with experience in the HVAC or facility services industry. The role will entail assisting our service department with routing technicians, interacting with customer calls and requests, processing working orders, creating proposals, scheduling parts orders, and creating invoices for customers. Familiarity with field management softwares such as BuildOps or Service Titan is strongly preferred.

Job Responsibilities:

Proposal & Bid Management:

Prepare, organize, and submit accurate and competitive proposals.

Order Tracking:

Monitor orders from placement to fulfillment, providing timely updates to customers and sales teams.

Delivery Coordination:

Work with suppliers, carriers, and customers to schedule and confirm on-time deliveries.

Documentation & Record-Keeping:

Maintain databases, ensuring accurate tracking of proposals, orders, and follow-ups.

Sales & Operations Support:

Provide high level of service to internal and external customers. Utilize applicable sales tools and CRM's to track and effectively develop sales opportunities Ability to establish customer rapport with effective questioning techniques to identify the prospect's needs, budget, decision-making process, timeline, and next steps.

Administrative Assistance:

Provide additional support as needed to enhance efficiency and customer satisfaction.

Job Requirements:

3+ years of experience as a service dispatcher in HVAC or facility services is required Experience with order management systems a plus
