In this energetic role, you'll manage the scheduling and dispatching of technicians, coordinate with clients and vendors, and utilize advanced transportation management systems to optimize service delivery. Your organizational prowess and communication skills will drive efficiency, enhance customer satisfaction, and keep our HVAC projects running smoothly from start to finish. Duties Coordinate and schedule HVAC service appointments by efficiently dispatching technicians based on priority, location, and skill set using vehicle dispatch software and transportation management systems. Communicate clearly with field technicians, customers, vendors, and internal teams via multi-line phone systems, ensuring all parties are informed of schedules, delays, or changes. Manage incoming calls with professionalism and courtesy, providing exceptional customer service while gathering necessary information for dispatching. Maintain accurate data entry within systems such as Oracle Transportation Management, SyteLine, AS400, and other logistics platforms to track service requests, freight movements, and technician assignments. Monitor GPS and GIS tools to track vehicle locations, optimize routes for road transportation operations, and ensure timely arrivals. Collaborate with supply chain teams to coordinate parts delivery schedules and ensure availability of necessary materials for HVAC projects. Support shipping & receiving processes related to HVAC equipment or parts, ensuring proper documentation and adherence to DOT regulations. Analyze operational data to identify opportunities for process improvements in transportation planning and fleet management. Qualifications Proven experience in dispatching within transportation planning or logistics environments; familiarity with road transportation operations is highly desirable. Strong proficiency in Microsoft Office Suite (Word, Excel) along with experience using vehicle dispatch software such as Oracle Transportation Management or similar platforms like SyteLine or AS400. Knowledge of freight management, fleet management systems, and 3PL (third-party logistics) providers enhances your ability to succeed in this role. Excellent communication skills—both verbal and written—and phone etiquette are essential for effective internal communication and customer interactions. Demonstrated organizational skills with the ability to multitask efficiently while maintaining attention to detail during data entry or analysis tasks. Familiarity with GPS technology, GIS mapping tools, transportation management systems (TMS), and vehicle routing optimization techniques is a plus. Understanding of DOT regulations related to road transportation operations ensures compliance across all dispatch activities.
