Job Description
Job Overview The Dispatcher is responsible for scheduling, routing, and coordinating field service technicians for loading dock equipment, overhead and rolling steel doors, high speed doors, fire rated doors, operators, and related repair, planned maintenance, and installation work. This role works with our other dispatcher(s) to own the daily dispatch board, manages work order intake from customer facility and property management teams, and ensures technicians are assigned to the right job, at the right site, with the right parts and approvals in place. This position is the primary connection point between customers, field technicians, purchasing, and the field management team. Success in this role requires strong organizational skills, sound judgment under pressure, working knowledge of trade and equipment terminology, and the ability to manage competing priorities across multiple job sites and service territories in a single day. Essential Duties and Responsibilities Essential functions include but are not limited to the following: Build, monitor, and adjust the daily dispatch board in ServiceTitan, assigning technicians based on skill set, certification, equipment, geography, and job priority. Receive and enter service requests submitted by phone, email, and customer work order portals, capturing site, equipment, and problem detail accurately at intake. Obtain, verify, and record purchase order numbers, not to exceed limits, and written approvals before work is dispatched, and secure additional authorization when scope or cost exceeds the approved amount. Meet customer required response, arrival, and completion windows, and update customer systems with status, arrival and departure times, and completion documentation as required by the account. Coordinate multi technician and multi day jobs, including lift and equipment rentals, subcontractor scheduling, and site access requirements or POCs. Work with the purchasing and warehouse departments to track parts and material availability, place jobs on hold when material is pending, and release and reschedule promptly when material arrives. Schedule planned maintenance visits according to contract cycle and track completion against contract obligations so no site falls out of compliance. Participate in dispatch emergency calls on occasion according to customer priority level and contractual response times. Review technician notes and photos, for accuracy and completeness so that time and material and quoted work can be invoiced without delay. Follow up on deficiencies identified during service and maintenance visits, coordinate quote preparation with the field service manager or sales, and schedule approved repair work. Communicate proactively with customers, account managers, and internal stakeholders regarding scheduling changes, delays, revised arrival times, and unresolved issues. Maintain accurate customer, site, and equipment records, including equipment lists, door and dock position numbers, serial and model data, and site contact information. Answer inbound calls professionally, resolve customer questions where possible, and route appropriately when escalation is required. Perform other duties as assigned in support of service department operations. Skills Proficiency with field service management software (ServiceTitan preferred) including scheduling, dispatching, and work order management. Working knowledge of third party work order and facility maintenance portals used by property management and national account customers. Proficiency with Microsoft Office, particularly Outlook and Excel. Ability to read and interpret work orders, quotes, equipment lists, and basic site documentation. Familiarity with dock and door terminology (levelers, restraints, seals and shelters, sectional doors, rolling steel curtains, operators, springs, and hardware) strongly preferred. Strong verbal and written communication skills with customers, technicians, and internal teams. Ability to manage a high volume of calls, emails, and portal requests without losing accuracy.
