CEL is a union firm with its corporate headquarters located in San Ramon, CA and has full-service facilities in Northern California, Hawaii, and Utah. We are a growing material testing and inspections company providing on-site and laboratory services to construction and industrial clients. We value accuracy, responsiveness, and strong customer service. We are seeking an organized, efficient Office Manager to support daily operations. This role is the front-line contact for customers, coordinates dispatch and sample logistics, and keeps the office running smoothly. Job responsibilities include but are not limited to: Answer and route phone calls, texts, and emails; provide professional customer service and follow up on inquiries Coordinate dispatching for inspectors and technicians; manage schedules and job assignments Arrange shipping and receiving; prepare shipping paperwork and labels Maintain inventory and order office supplies as needed Manage base passes/credentials for field staff and inspectors Greet visitors and clients; maintain a professional reception area Perform basic bookkeeping tasks: invoicing support, expense tracking, and data entry Maintain organized office files (electronic and paper), client records, and logs Monitor office equipment, coordinate maintenance and vendor services Implement and improve office procedures to increase efficiency Minimum requirements: 2+ years of office administration or office manager experience preferred Proficient with Microsoft Office (Word, Excel, Outlook); comfortable learning company-specific software Strong organizational skills, attention to detail, and ability to prioritize tasks Excellent verbal and written communication; professional phone manner Customer-service oriented; able to interact with clients, field staff, and vendors Ability to handle multiple tasks in a fast-paced environment and meet deadlines Reliable, punctual, and able to maintain confidentiality Valid driver's license and ability to arrange or perform occasional sample pickups/shipping Experience in construction, testing, or inspection industries is a plus but not required
