EMCOR Service Fagan has an immediate opportunity for an experienced Service Dispatcher at our Kansas City, KS headquarters.
Essential Duties & Responsibilities:
Dispatch & Scheduling Receive and manage incoming service requests from customers via phone, email, and other communication channels. Schedule and dispatch technicians for service calls, preventive maintenance visits, and emergency service requests. Monitor technician schedules and job progress throughout the day to maximize efficiency and customer satisfaction. Coordinate workflow and make schedule adjustments as needed to address changing priorities and urgent service needs. Create and maintain service work orders, job files, and related documentation. Customer Service Serve as main point of contact for customer inquiries, service requests, and scheduling needs. Professionally handle customer concerns and service-related issues, escalating matters to management when appropriate. Direct billing and invoice-related inquiries to the appropriate department. Communicate significant customer service issues to management and sales teams as needed. Work Order Management Review work orders for accuracy, including customer information, labor hours, job details, and completed documentation prior to billing. Verify job status and ensure all service records are complete and properly documented. Generate and review service invoices and related documentation for accuracy. Administrative Support Research warranty coverage and gather supporting documentation from internal records, project managers, vendors, and accounting teams. Coordinate the ordering of maintenance materials and filters for scheduled service work. Ensure service documentation, reports, and records are organized and maintained in accordance with company procedures.
Qualifications:
Required High school diploma or equivalent. Strong communication and interpersonal skills. Excellent organizational and time management abilities. Ability to prioritize multiple tasks in a fast-paced environment. Proficiency with computer systems, data entry, and Microsoft Office applications. Strong attention to detail and commitment to accuracy. Preferred Prior HVAC, mechanical, construction, or service-industry dispatch experience. Previous dispatching, scheduling, customer service, or administrative experience. Experience with work order management, service software, or ERP systems. Knowledge of HVAC service operations and maintenance scheduling.
