Job Description

The Transportation Dispatcher provides safe, reliable, and professional transportation coordination and transportation services for residents within a federally contracted ICE short-term residential facility in Alexandria, LA. Working closely with facility leadership, healthcare personnel, family services staff, security personnel, and transportation staff, the Transportation Dispatcher coordinates and dispatches resident transportation based on facility schedules and operational needs. This position monitors transportation activities, communicates assignments and schedule changes, maintains accurate records, and helps ensure appropriate driver and vehicle coverage. As operational needs require, the Transportation Dispatcher may also perform Transportation Staff duties, including transporting residents. This role requires strong computer, communication, organizational, and customer service skills, sound judgment, attention to detail, and the ability to manage changing priorities in a fast-paced, 24-hour residential environment.
Key Responsibilities/Essential Functions:
Transportation Dispatch & Coordination Coordinate and dispatch daily resident transportation based on facility schedules and operational needs. Assign drivers and vehicles based on schedules, staffing, vehicle availability, and priorities. Monitor active transportation assignments and maintain communication with drivers regarding departures, arrivals, delays, and schedule changes. Coordinate transportation needs with healthcare, family services, case management, facility leadership, and other departments. Adjust transportation schedules and assignments in response to changing needs, delays, staffing, or vehicle availability. Assist with route planning to support safe and efficient transportation. Promptly report transportation delays, incidents, emergencies, vehicle issues, or other operational concerns. Resident Transportation & Vehicle Operations Perform Transportation Staff duties when needed to support operational requirements. Safely transport residents in accordance with facility schedules, policies, and operational requirements. Verify resident identity and required transportation documentation and maintain resident accountability throughout transportation activities. Operate facility vehicles safely and in accordance with applicable traffic laws and facility procedures. Conduct required pre-trip and post-trip inspections and report maintenance or safety concerns. Help ensure vehicles remain clean, fueled, organized, and ready for use. Follow defensive driving and established passenger safety procedures. Documentation & Computer Systems Maintain accurate dispatch logs, transportation schedules, vehicle assignments, mileage records, and other required documentation. Accurately enter, update, retrieve, and maintain transportation information using approved electronic systems. Use computer-based scheduling, tracking, communication, and documentation systems throughout the shift. Monitor and respond to transportation requests and electronic communications in a timely manner. Maintain confidentiality of resident information and protected records. Ensure required documentation is accurate, complete, and compliant with applicable requirements. Collaboration, Compliance & Safety Communicate professionally with residents, drivers, staff, vendors, and other personnel. Participate in shift briefings and transportation planning activities. Deliver services in a culturally responsive, trauma-informed, and professional manner. Follow all facility policies, transportation procedures, safety requirements, emergency protocols, and mandatory reporting requirements. Complete all required training and maintain required certifications.
Required Qualifications & Core Competencies:
High school diploma or GED required. Valid state driver's license with a clean driving record required. Minimum two (2) years of professional driving, transportation, dispatch, logistics, scheduling, customer service, security, healthcare support, residential services, or related experience preferred. No Commercial Driver's License (CDL) required. Ability to safely operate passenger vans, SUVs, and other standard passenger vehicles. Strong computer skills and proficiency with electronic scheduling, tracking, communication, and documentation systems. Proficiency with email, Microsoft Office programs, and web-based systems. Ability to quickly learn facility-specific transportation and resident tracking systems. Strong organizational, scheduling, customer service, and communication skills. Ability to manage multiple transportation requests and changing priorities in a fast-paced environment. Strong attention to detail and ability to maintain accurate records. Ability to remain calm and professional in dynamic situations. Ability to work effectively with individuals from diverse backgrounds. Ability to obtain and maintain required background clearances. Ability to read, write, and communicate effectively in English.
Desired Skills:
Previous dispatch, transportation coordination, logistics, scheduling, or fleet operations experience. Experience dispatching drivers or coordinating transportation assignments. Previous professional driving or passenger transportation experience. Experience working in healthcare, residential, shelter, hospitality, or government-contracted environments. Experience working with pediatric, family, or residential populations. Bilingual proficiency in Spanish or another commonly encountered language. Knowledge of transportation logistics and route planning. Experience working in secure or highly regulated environments.
Conditions of Employment:
Employees must be a U.S. Citizen or a Legal Permanent Resident. Employment is contingent upon successful completion of all required pre-employment and government screening requirements, including: Federal background investigation, up to and including a Tier 4 DHS clearance. Criminal history check. Verification of employment and education history. Compliance with all government credentialing requirements. Drug screening. Medical screening/medical clearance. Tuberculosis (TB) testing. Providing required immunization records. Internal background check to the satisfaction of contract requirements. If applicable, Child Abuse/Neglect Report (CAN) or child protective services check with no adverse findings. Must adhere to all federal security, confidentiality, and operational requirements. Must show proof of eligibility to work in the U.S. Must be able to speak, read, and write in English. Anovaeon operates 24 hours/365 days and requires flexibility to work days, nights, weekends, holidays, and additional hours as required.
Physical Requirements:
Ability to sit and/or drive for extended periods. Ability to enter and exit vehicles frequently when performing transportation duties. Ability to stand, walk, and move throughout the facility and other locations as needed. Ability to lift and transport luggage, supplies, equipment, and personal belongings up to 50 pounds. Ability to safely operate vehicles in varying weather and traffic conditions and respond appropriately to unexpected situations.
Work Environment:
Fully on-site position at a federally contracted short-term residential ICE facility in Alexandria, LA. Fast-paced, high-volume residential environment supporting individuals and families in short-term residential care. Work primarily involves coordinating, dispatching, tracking, and documenting transportation activities, with resident transportation duties performed as operationally needed. Work schedules may include days, evenings, nights, weekends, holidays, and rotating shifts to support 24-hour operations.
