As the Front Office Coordinator, you are responsible for delivering a great customer experience and ensuring daily routes are efficient and maximized. We need someone who doesn't just answer the phone, but who owns the calendar and customer experience at NelsonB Refreshing. Our Office Coordinator should be comfortable solving problems and documenting customer details to deliver best experience. If you have great energy, love talking to customers, thrive in a fast-paced office environment, understand the complexity and attention to detail needed to deliver the best experience, and you're comfortable leading a call, we want to talk to you! What You'll Actually Do
- Answer inbound calls and guide customers toward appointment windows that work for both their needs and our route efficiency. This requires quickly reviewing the schedule, service location, travel time, and route capacity.
- Own the daily schedule, watch for gaps, keep every route filled, and make outbound calls during slow periods to fill them
- Listen carefully for customer needs and recommend relevant services or add-ons without being pushy.
- Follow up with every customer after service and ask how it went, every time
- Catch problems early... confusion, a routing conflict, a pricing question and solve most of them yourself before they reach the owner
- Know the price list cold and know our service area/ZIP map well enough to answer questions with confidence
- Keep the office running: supplies, the scheduling system, day-to-day organization
- Double
- and triple-check your own scheduling work before it goes out.
Make sure all customers receive a response within company standards. No customer left unread!
What We're Looking For Required:
- Real experience scheduling, dispatching, or coordinating appointments/routes for multiple routes (landscaping, plumbing, home service business, or similar)
- Strong phone communication and comfort redirecting a caller toward a specific outcome
- Comfortable multitasking between a live call, a computer screen, and interruptions
- Learns new software quickly
Preferred:
- Experience specifically in home-service or trade scheduling/dispatch
- Familiarity with the Baton Rouge area
- Experience with a CRM or field-service scheduling platform You'll Probably Love This Job If…
- A full, organized schedule feels satisfying and an empty slot feels like a problem to solve
- You've been the person at a past job who "just handles it" instead of escalating everything
- You like people, but you're not afraid to (politely) redirect them
- You're detail-obsessed in a way some people find slightly extra. That's the job This Probably Isn't For You If…
- You'd rather just take down whatever the customer requests and move to the next call
- Multitasking under time pressure stresses you out more than it energizes you
- You want a quiet role with minimal day-to-day customer contact
- You're looking for a role where someone else owns the outcomes and you just execute tasks
