About the Role We're looking for a detail-oriented Dispatcher to join our HVAC team. You'll be the central point of contact between our customers, technicians, installers, and office — keeping the schedule running smoothly, communication flowing, and every job moving from first call to completion. This is a fast-paced, desk-based role that requires strong attention to detail and genuine care for customer service. What You'll Do Answer and place all calls through our dispatch software (ServiceTitan), following standard call procedures Schedule and confirm service and install appointments; proactively call customers who haven't confirmed Own and monitor the daily dispatch board — track technician progress, hold jobs, unassigned jobs, and job statuses Debrief technicians by phone after every completed job, verifying invoices, photos, and equipment data are properly recorded Follow up with customers on pending parts, reschedule return visits, and keep customers informed at every step Make "happy calls" after completed jobs and request customer reviews Assist with accounts receivable/collections and other administrative support as needed Maintain accurate customer records, entering information directly into our system in real time (no paper notes) Support install project coordination — subcontractor and inspection scheduling as directed Monitor recurring/membership service scheduling What We're Looking For Excellent phone and written communication skills Strong organizational skills and exceptional attention to detail Comfortable working in a software-driven, fast-paced office environment (ServiceTitan experience a plus, not required) A customer-first mindset — someone who takes ownership of resolving issues, not just logging them Ability to multitask and stay calm under a busy schedule Reliable, in-office attendance (this is a desk-based, in-person role) Prior dispatch, scheduling, or customer service experience preferred, ideally in home services/trades What We Offer 401k/Roth 401k 401k/Roth 401k 3% Safe Harbor Contribution Weekly Phone Allowance Vacation Time Sick Time 6
