This role is essential in coordinating service requests, managing dispatch operations, and ensuring seamless communication between clients and field technicians. The ideal candidate will possess strong organizational skills, excellent communication abilities, and familiarity with transportation management systems to support efficient scheduling and logistics. This position offers an opportunity to work in a dynamic environment where attention to detail and proactive problem-solving are valued. Duties Answer and manage incoming phone calls, emails, and online chat inquiries, including daily follow-up on after-hours calls and messages. Routing calls to other departments. Schedule, coordinate, and dispatch service calls to HVAC technicians based on skill set, location, availability, and job priority using Housecall Pro. Manage and schedule the monthly maintenance workload to ensure timely service and balanced technician schedules. Serve as the primary communication link between customers, technicians, and the office, providing accurate updates on job status and expectations. Confirm appointments, notify customers of schedule changes or delays, and ensure a positive customer experience from first contact to job completion. Maintain accurate customer records, job notes, and scheduling details within the CRM system. Process equipment registrations and warranty submissions. Assist with invoice questions, service follow-ups, and coordination of return visits or warranty calls as needed. Support day-to-day office operations and help keep field operations running efficiently. Requirements High school diploma or equivalent. 2 + years experience in customer service, dispatching, or office coordination (HVAC or trade experience preferred) Strong attention to detail, follow-through, verbal and written skills. Ability to multitask, prioritize, and stay organized in a fast paced environment. Basic computer skills and comfortability using CRM software ( Housecall Pro or similar software prefered)
