- Position Summary The Receptionist serves as the first point of contact for customers, vendors, property owners, tenants, and municipal representatives.
This position supports daily office operations by managing communications, coordinating service schedules, preparing invoices and payment records, maintaining accurate documentation, and assisting with permits, warranties, rebates, and administrative reporting. The ideal candidate is organized, dependable, customer-focused, and comfortable managing multiple priorities in a fast-paced service environment.
Key Responsibilities:
- Answer and route phone calls, text messages, and emails while providing courteous, timely customer service.
- Create and maintain customer profiles and accurate job records.
- Schedule service calls, installations, projects, maintenance agreements, work orders, and required inspections.
- Verify that job photos, videos, permits, and supporting documents are uploaded and correctly filed.
- Create, finalize, and distribute customer invoices by email or mail.
- Review technician schedules and completed work to support timely invoicing.
- Receive checks, record payments, and prepare deposits.
- Download, scan, name, organize, and reconcile vendor invoices, receipts, statements, and other records.
- Process customer rebates, equipment registrations, warranty agreements, and warranty claims.
- Obtain city permits, schedule inspections, record results, submit payments, and communicate with municipalities and customers.
- Maintain spreadsheets covering permits, projects, warranties, rebates, vehicle maintenance, and weekly executive reporting.
- Coordinate office snack orders and catering for meetings or company events.
- Perform other duties as assigned to support efficient office operations.
Qualifications:
- High school diploma or equivalent required; additional administrative or business training preferred.
- Previous experience in reception, customer service, office administration, dispatching, or a related role preferred.
- Proficiency with email, spreadsheets, digital file organization, and standard office software.
- Experience with scheduling, invoicing, property-management platforms, permitting systems, or service-industry software is beneficial.
- Strong written and verbal communication skills.
- Ability to maintain accuracy, confidentiality, and professionalism while handling frequent interruptions and competing deadlines.

Work Expectations:
This role requires regular use of a computer, telephone, email, and office equipment.
