Job Description
The Office Manager / Dispatcher is responsible for overseeing the daily administrative operations of the office while coordinating service technicians to ensure efficient scheduling, timely customer service, and smooth business operations. This role serves as the primary point of contact for customers, manages office workflows, and supports the field team by dispatching technicians, tracking job progress, and maintaining accurate records. The ideal candidate is highly organized, customer-focused, and able to multitask in a fast-paced service environment. Key Responsibilities Schedule and dispatch plumbing technicians based on service calls, emergencies, and technician availability. Answer incoming calls, respond to customer inquiries, and schedule appointments. Monitor technician routes and job status to maximize productivity and customer satisfaction. Maintain accurate customer records, work orders, invoices, and service history. Coordinate communication between customers, technicians, and management. Manage daily office operations, including filing, inventory tracking, and ordering office supplies. Process invoices, payments, and assist with accounts receivable and payable. Prepare reports, track key performance metrics, and maintain company records. Assist with payroll, employee scheduling, and onboarding paperwork as needed. Ensure compliance with company policies and maintain confidentiality of business information. Support management with administrative projects and operational improvements. Qualifications High school diploma or equivalent; associate degree or administrative certification preferred. 2+ years of office management, dispatching, or administrative experience, preferably in plumbing, HVAC, construction, or another service industry. Strong organizational and time-management skills. Excellent customer service and communication abilities. Proficiency with Microsoft Office and dispatch or service management software (such as ServiceTitan, Housecall Pro, or similar). Ability to prioritize multiple tasks and remain calm under pressure. Strong attention to detail and problem-solving skills. Preferred Skills Experience coordinating field service technicians. Knowledge of plumbing terminology and service operations. Basic bookkeeping and accounting experience. Ability to analyze schedules and improve operational efficiency. Work Environment This position is primarily office-based and requires frequent communication with customers and field technicians by phone, email, and dispatch software. The role may occasionally require flexibility in scheduling to support emergency service calls or peak business periods.
