About WestLift, LLC WestLift, LLC is a family-owned material handling company serving Eastern North Carolina. We provide forklift sales, service, rentals, parts, and preventative maintenance for customers across a wide range of industries. Our team is committed to delivering exceptional customer service while building long-term relationships with our customers. We are looking for a highly organized, detail-oriented Service Dispatcher / Service Administrator who thrives in a fast-paced environment and enjoys coordinating people, solving problems, and keeping operations running efficiently. Position Summary The Service Dispatcher / Service Administrator is responsible for coordinating our field service technicians, communicating with customers, scheduling preventative maintenance, managing work orders, and ensuring that every service call is completed efficiently from start to finish. This position is the communication hub of our service department and plays a critical role in delivering an outstanding customer experience. Primary Responsibilities Schedule and dispatch field service technicians daily. Monitor technician workloads and adjust schedules based on priority and location. Communicate with customers regarding scheduling, technician arrival times, and job status. Create and manage service work orders within our ERP system. Coordinate preventative maintenance schedules. Review technician paperwork for completeness and accuracy. Assist with obtaining purchase orders and customer approvals. Coordinate with the Parts Department to ensure required parts are available before dispatching work. Monitor open work orders and ensure timely completion and invoicing. Answer incoming service calls and accurately document customer concerns. Maintain accurate customer and equipment records. Assist with warranty administration and service documentation. Support the Service Manager with departmental reporting and administrative tasks. Help maintain high customer satisfaction through proactive communication and follow-up. Qualifications Previous dispatching, scheduling, customer service, or administrative experience preferred. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Strong computer skills including Microsoft Office. Experience with ERP, dispatching, or service management software is a plus. Positive attitude and strong problem-solving abilities. Ability to work independently while supporting a team environment. Preferred Experience Experience in one or more of the following industries is a plus: Forklift or material handling Heavy equipment Construction equipment Automotive or diesel service Industrial service HVAC Field service operations What Success Looks Like A successful Service Dispatcher / Service Administrator will: Keep technicians productive with minimal downtime. Ensure customers are informed throughout the repair process. Maintain an organized dispatch schedule. Help reduce response times. Improve service department efficiency.
