POSITION SUMMARY
The Junior Dispatcher supports the daily coordination of crane and trucking operations while training under the Hillside Crane Dispatcher and Trucking Dispatcher. The role assists with scheduling equipment and personnel, communicating assignments and changes, maintaining accurate dispatch information, and supporting the flow of job documentation through payroll and billing. As proficiency develops, the Junior Dispatcher will provide reliable coverage for either dispatch function during absences, vacations, and peak operating periods.
KEY RESPONSIBILITIES
Dispatch Training & Coverage
  • Train alongside both the Crane Dispatcher and Trucking Dispatcher to learn the full dispatch process for cranes, specialized transportation, and supporting equipment
  • Assist with daily dispatch responsibilities and gradually assume independent assignments based on demonstrated knowledge and readiness
  • Provide operational support and coverage when a dispatcher is absent, on vacation, or managing increased workload
  • Learn Bay Crane procedures, equipment capabilities, personnel qualifications, customer requirements, and regional operating considerations Scheduling & Field Coordination
  • Assist with assigning cranes, tractors, trailers, operators, drivers, rigging crews, and support equipment to daily work
  • Help ensure equipment and personnel are scheduled, efficiently, and profitably based on job requirements and availability
  • Confirm reporting times, jobsite locations, customer contacts, equipment needs, permits, and special instructions before dispatch
  • Communicate assignments, changes, delays, call-outs, and scheduling conflicts to employees, Sales, Project Management, and branch leadership
  • Monitor active jobs and transportation assignments throughout the day; check employee progress and help adjust the schedule as conditions change
  • Assist with arranging outside trucking or other third-party operational support when authorized and necessary Systems, Documentation & Billing Support
  • Maintain and update the daily schedule in NexGen with accurate personnel, equipment, job, and status information
  • Ensure required paperwork and electronic tickets are created, distributed, completed, and returned before, during, and after work is performed
  • Support the timely approval and processing of e-tickets used for payroll and customer billing
  • Maintain organized dispatch notes, call records, schedules, permits, and other supporting documentation Operational Communication
  • Maintain clear, professional communication with operators, drivers, rigging personnel, customers, Sales, Project Management, Service, Billing, Safety, and branch leadership
  • Communicate equipment availability, service needs, and operational concerns with the Service Manager and Yard Foreman
  • Escalate safety concerns, equipment issues, personnel conflicts, customer problems, or scheduling risks promptly
  • Answer and direct operational phone calls and assist field employees with routine dispatch questions
  • Perform other operational and administrative duties as assigned
QUALIFICATIONS
  • High school diploma or equivalent required
  • Prior experience in dispatching, transportation, construction, crane operations, equipment rental, logistics, or heavy equipment support is preferred but not required
  • Proficiency with Microsoft Office, including Outlook, Excel, and Word
  • Strong organization, communication, attention to detail, and problem-solving skills
  • Ability to manage multiple assignments and changing priorities in a time-sensitive environment
