Job Description
Overview Join our team as a Service Coordinator/Administrator and play a vital role in providing excellent customer service in scheduling/coordinating inspections and service on fire alarm and fire sprinkler systems according to the frequencies determined by fire codes. This role requires a high level of alertness, attention to detail and strong organizational skills to keep up with the high volume of information and timeline constraints. In this energetic role, you will schedule appointments for multiple techs each day, process all reports and paperwork coming in from the techs, and relay the information to the proper entities and through the proper channels. This is a key role that makes a tangible impact on our operational efficiency. Duties Generate and schedule inspection routes through our scheduling software, Servicetrade. Process all incoming reports, quotes, service tickets, POs, etc and escalate accordingly. Manage multi-line phone systems to handle inquiries from clients, fire department personnel, and internal teams with professionalism and clarity. Utilize GIS (Geographic Information Systems) and GPS technology for route planning, analysis, and real-time tracking of technicians. Maintain accurate data entry in logistics databases such as Servicetrade, Connected Life Safety Systems, and internal databases, ensuring all records are current and precise. Communicate effectively with customers, fire departments, and internal departments through phone calls and internal communication channels to coordinate schedules and resolve issues swiftly. Act as liasion between customers and management. Experience Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) for documentation, reporting, and communication purposes. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Demonstrated analysis skills to interpret data related to logistics performance and identify opportunities for process improvements. Ability to multi-task; process-based mindset Exceptional communication skills combined with phone etiquette expertise to manage customer interactions professionally.
