Job Description

Operations & Dispatch Assistant Overview We are looking for a reliable, detail-oriented Operations & Dispatch Assistant to join our team full-time and keep our office and field operations running smoothly. This role is ideal for an organized, communicative individual who thrives in a fast-paced environment and is eager to support a busy team of office staff and field technicians. In this role, your primary focus will center on dispatch and scheduling, handling phone communications, and managing our daily social media presence.
Key Responsibilities Scheduling & Dispatch:
Schedule service calls, repairs, and installations; coordinate and adjust schedules throughout the day as jobs change or emergencies arise. Communicate scheduling updates to both customers and technicians. Dispatch technicians to job sites, communicating job details, updates, and notes. Confirm appointments, provide service windows, and reschedule appointments. Follow up with customers regarding scheduling, job updates, and completed work.
Client Communication & Intake:
Answering phones and assisting customers with service inquiries. Process incoming quote requests and route them to the appropriate salesperson. Call back clients with specific details on jobs and schedule updates.
Social Media & Marketing:
Post engaging daily content across Instagram, Facebook, and LinkedIn .
Administrative & Office Operations:
Open or close the office (after training). Coordinate with the warehouse and technicians to ensure materials and parts are ready for scheduled jobs. Prepare paperwork related to service calls and job documentation. Maintain and update client records, job details, photos, and notes. Skills & Qualifications Strong organizational and communication skills. Ability to multitask and prioritize in a fast-paced environment. Strong customer service skills and a professional phone presence. Familiarity with Microsoft Excel is required; experience with Jobber or QuickBooks is a plus. Active familiarity with social media platforms (Instagram, Facebook, LinkedIn). Willingness to learn and grow within the company.
Job Type:
Full-time Pay:
$16.00 - $23.00 per hour
