Job Description
General Job Description Provide administrative and operational support while serving as the primary owner of invoicing, billing and data collection for the KPI. Although this role has specific areas of ownership, all office personnel are expected to collaborate, cross-train, answer incoming calls, assist with dispatch, scheduling, COD collections, and support the overall operation as business needs require. Primary Responsibilities
- Convert completed work orders into invoices.
- Manage recurring billing (alarm contracts/OpenPath/Avigilon).
- Review billing accuracy.
- Process purchase orders.
- Maintain billing records.
- Assist with collections when necessary.
- Prepare customer documentation for invoices.
- Answer incoming calls.
- Assist with dispatch and scheduling.
- Monitor company email and "info" email. Create work orders and schedule service calls while coordinating with staff.
- Cross-train in office functions.
- COD service calls- Call to collect if it was not done the day of service. Shared Responsibilities (All Office Staff)Customer Service
- Answer all incoming telephone calls promptly and professionally.
- Greet customers in a courteous and helpful manner.
- Take ownership of customer requests from beginning to completion.
- Ask appropriate questions to accurately determine customer needs.

- Schedule service calls.
- Dispatch technicians as needed.
- Assist with technician scheduling and workload balancing.
- Monitor job status throughout the day.
- Communicate schedule changes with customers and technicians. Office Operations
- Process COD collections and customer payments.
- Maintain accurate customer records.
- Document customer communications.
- Assist coworkers during periods of high call volume.
- Cross-train on essential office functions.
