Job Description
Job Summary We are seeking a dependable and detail-oriented Assistant Dispatcher / Planner to support daily dispatch operations, planning, compliance tracking, and administrative functions. This role is essential to keeping drivers, equipment, and customer commitments organized, compliant, and running efficiently. The position includes on-call responsibilities during weeknights and weekends to support after-hours operations and maintenance needs. Key Responsibilities Assist with daily dispatching, scheduling, and route planning Communicate with drivers regarding assignments, schedule changes, and job updates Monitor job progress and adjust plans as needed to maintain efficiency and service levels Track and monitor driver medical cards and license expiration dates Oversee and schedule annual inspections and maintenance requirements for company equipment Perform daily driver logbook audits to ensure compliance with DOT and company policies Maintain accurate driver files and new hire paperwork, ensuring records are complete and up to date Handle after-hours maintenance calls during assigned on-call periods Assist the billing department when time permits by verifying hours, paperwork, and job details Provide excellent customer service, responding to inquiries and resolving issues professionally Prepare and send fuel pricing updates to customers Enter, update, and maintain accurate data in dispatch, compliance, and tracking systems Support the dispatcher and operations team with general administrative and operational tasks Qualifications High school diploma or equivalent (associate degree preferred) Previous experience in dispatching, logistics, transportation, or operations support preferred Strong organizational and time-management skills Ability to multitask and prioritize in a fast-paced environment Clear, professional communication skills (phone, email, radio) Comfortable working with computers, spreadsheets, and dispatch/compliance software High attention to detail and accuracy, particularly with compliance-related tasks Ability and willingness to participate in on-call rotation for weeknights and weekends Reliable attendance and a strong sense of responsibility Preferred Skills Knowledge of DOT regulations, logbooks, and compliance requirements Experience managing driver and equipment records Background in transportation.
