Current shift: 5:30 am - 2:30 pm (may be adjusted by supervisor to meet the needs of the Transportation Department)

Position Summary

The Dispatch Specialist coordinates and monitors daily transportation operations by dispatching drivers, assistants, and buses and responding to two-way radio communications. Serves as a primary point of contact for transportation-related telephone inquiries, records driver absences, and coordinates substitute coverage to support uninterrupted transportation services.

The Dispatch Specialist assists the Trip Request Specialist and Field Trip Coordinator with processing, posting, assigning, and tracking field trip and shuttle requests. Maintains accurate transportation records and communicates timely information to drivers, transportation staff, parents, students, and district personnel to support safe, efficient, and reliable transportation operations.

Minimum Requirements

High school diploma or GED equivalent recognized by the Texas Education Agency or a regional accrediting agency.

Must obtain the class "B" CDL license with all required endorsements within 180 calendar days of employment (Paid Training Provided).

Safe driving record verified by Texas Department of Public Safety (meets and maintains liability coverage eligibility). Ability to pass U.S. Department of Transportation alcohol and drug tests and annual physical exam. Must obtain and maintain School Bus Driver Certification (Texas Department of Public Safety). Satisfactory outcome of fingerprinting background check.

Preferred Qualifications

Two (2) years of school bus driving experience.

Ability to communicate in both English and Spanish.

Experience with Transfinder school bus routing software.

Knowledge, Skills, and Abilities Skill in effectively using telephone, two-way radio, and other communication equipment.

Strong organizational, communication, interpersonal, teamwork, and multitasking skills.

Skill in operating standard office equipment and utilizing transportation, routing, dispatch, and other applicable software applications.

Ability to read and interpret maps and use GPS and other navigation tools to identify routes, locate addresses, and determine efficient travel directions.

Knowledge of transportation routing and scheduling principles and procedures.

Ability to read, interpret, and apply policies, procedures, schedules, and other transportation-related documents.

Ability to prioritize and coordinate multiple tasks while working with frequent interruptions and changing priorities. Ability to remain calm, exercise sound judgment, and communicate effectively in stressful, time-sensitive, or emergency situations. Ability to maintain accurate records and protect the confidentiality of student, employee, and transportation information.

Essential Functions/Key Responsibilities Dispatch and coordinate drivers, school buses, vehicles, field trips, and shuttle services to support safe and efficient transportation operations. Communicate effectively with transportation staff, drivers, parents, students, campus personnel, and other districts staff regarding transportation services and operations. Monitor transportation operations and communicate changes to bus assignments, routes, stops, schedules, and student transportation services as needed. Utilize transportation routing, dispatch, and communication software to monitor and coordinate transportation services. Receive and respond to telephone calls, radio communications, and transportation inquiries; provide accurate information and appropriate assistance. Maintain accurate daily logs, transportation records, reports, and trip documentation in accordance with district procedures and record-retention requirements.

Monitor transportation operations and respond to service disruptions, delays, accidents, emergencies, and other situations requiring immediate attention. Contact emergency personnel and appropriate district personnel when warranted and provide timely instructions and support to drivers during emergency situations. Prepare, distribute, and collect field trip and shuttle assignments, keys, trip packets, and required documentation; respond to driver questions and provide necessary trip information in accordance with district procedures and record-retention requirements. Assist drivers, parents, and staff with routing issues in a calm, controlled and professional manner. Keep supervisor informed and notified immediately of any accident or student safety concern. Operate a school bus when needed. Regularly monitor district email for pertinent communication. Participate in meetings, training sessions, and seminars as scheduled. Daily attendance at work and punctuality are essential functions of the job. Keep informed of and comply with policies established by federal and state law, State Board of Education rule, and board policy. Comply with all district routines and regulations. Perform other duties as assigned.

Tools/Equipment Used:

Standard office equipment, including computer and peripherals; telephone and dispatch equipment; two-way radio; PTT phone; transportation and routing software; school bus and other district vehicles; and safety equipment, including but not limited to flares, reflective signs, and fire extinguisher.

Posture:

Prolonged sitting while performing dispatch duties and driving; frequent standing and walking; occasional bending, stooping, twisting, reaching, and climbing steps or stairs.

Motion:

Frequent keyboarding, mouse use, and repetitive hand and finger movements; frequent grasping, handling, and reaching; occasional pushing and pulling; and occasional driving of a school bus or other district vehicle.

Lifting:

Occasional light lifting and carrying of items weighing up to 45 pounds.

Environment:

Frequent exposure to vehicle noise, outdoor weather conditions, and vehicle exhaust fumes; work around moving school buses and other vehicles; occasional operation of a school bus; and irregular work hours, including early mornings, evenings, and occasional extended hours.

Mental Demands:

Frequent interruptions and changing priorities; ability to maintain emotional control under stressful situations; ability to make timely decisions and effectively communicate during routine operations and emergency situations; and ability to monitor and respond to multiple communications simultaneously.
