Full Job Description Role:
Dispatcher Responsibilities:
Optimize Technician Scheduling and Dispatch:
Coordinate daily schedules for HVAC and Building Automation technicians by matching the right technician to each service call based on skill set, location, urgency, and customer needs. Keep technicians fully scheduled and maintain a 90% or higher utilization rate.Support Quote and Service Coordination:
Prepare and support service quotes as needed, ensuring information from technicians, customers, and internal systems is accurate, complete, and ready for review.Track Service Activity and Utilization:
Review service reports for completed work, open tickets, technician hours, helper hours, parts, and billing details. Use reporting to identify scheduling gaps and improve field productivity.Coordinate Purchase Orders and Parts Accuracy:
Confirm parts are documented with purchase orders and coordinate with purchasing when additional PO support is needed for accurate invoicing and job closeout.Review and Close Service Tickets:
Review technician tickets for scope of work, labor hours, helper hours, parts used, warranty status, and required documentation before manager approval and invoicing.Manage Customer and After-Hours Communication:
Answer incoming service calls professionally, prioritize urgent HVAC and Building Automation needs, communicate scheduling updates, and route after-hours calls to the on-call technician.Review Technician Time Entries:
Review technician time entries for accuracy, job alignment, and payroll readiness while ensuring labor hours support utilization goals.Schedule Maintenance, Inspections, and Follow-Up Work:
Keep inspections, preventive maintenance, and follow-up service work current by proactively filling available technician capacity.Requirements:
- 10+ years of experience in the HVAC and Building Automation industry, with a strong understanding of service operations, technician scheduling, and customer service expectations.
- Experience using service management, dispatch, accounting, or scheduling systems such as Miter, Sage, or similar platforms to support time entry, quoting, invoicing, purchase orders, and reporting.
- Ability to understand each technician's skill set, certifications, strengths, location, and availability to make effective scheduling decisions that support customer needs and utilization targets.
- Strong attention to detail when reviewing service tickets, labor hours, parts, warranty status, purchase orders, and documentation needed for accurate billing and job closeout.
- Clear communication with technicians, customers, purchasing, and management to keep service activity moving efficiently throughout the day.
- Comfortable working in a fast-paced service environment where priorities change quickly and technician schedules must be adjusted in real time.
