HVAC Service Coordinator

HVAC Service Coordinator $28.00 - $32.00/hour + SPIFFsCommissions Full-Time | Monday-Friday (7:30 AM - 4:30 PM + occasional OT) Ballard Natural Gas has been serving the Greater Seattle community since 1993. We're looking for a Service Dispatcher / Coordinator who can take ownership of the daily schedule, keep technicians productive, and ensure every customer interaction reflects our 5-star standard. Why This Role Matters You're not just scheduling-you're running the board . Your ability to prioritize calls, adapt in real time, and keep communication tight between customers and technicians directly impacts efficiency, revenue, and customer satisfaction. What You'll Do Own and manage the daily dispatch board for service technicians Dispatch calls in real time and adjust schedules based on urgency, location, and job progress Maximize efficiency by reducing drive time and improving technician productivity Coordinate return visits and ensure parts are ready when needed Maintain and manage the on-call schedule Keep customers informed on timing, delays, and next steps Maintain accurate customer records, job notes, and service history Support billing by preparing service invoices, timecards, and maintenance contract details Communicate clearly with technicians, managers, and internal teams throughout the day What We're Looking For Experience in dispatching, scheduling, or service coordination (HVAC or home services strongly preferred) Strong decision-making skills and the ability to pivot quickly in a fast-paced environment Excellent communication-clear, direct, and professional Highly organized with strong attention to detail Comfortable using dispatching software and computer systems Geographic awareness and routing efficiency is a plus Leadership or supervisory experience is a bonus (not required) CompensationBenefits $28.00 - $32.00/hour + SPIFFscommissions 100% employer-paid medical, dental, vision, and prescription coverage (employee) 50% coverage for dependents Safe Harbor 401(k) with company match Paid time off: 7 paid holidays 1-3 weeks vacation based on tenure Sick time accrual (1 hour per 40 hours worked) Ongoing training and growth opportunities within the company Our Values Our customers come first-always We treat our team like family Quality and service drive every decision If it's not right for the customer, it's not right-period Who Succeeds Here Stays calm under pressure and doesn't get overwhelmed when plans change Takes ownership and solves problems quickly Keeps technicians moving and customers informed Thrives in a fast-paced, team-oriented environment
