Job Description

Job Overview We are seeking an enthusiastic and detail-oriented individual to join our team. In this role you will coordinate transportation activities, perform invoicing, customer communication and assist the team to drive productivity and customer satisfaction. Primary Responsibilities:
Product Sourcing and Dispatch:
Source refined fuel products from suppliers to ensure timely and cost-effective delivery to customers. Evaluate market pricing and logistics options daily to optimize sourcing decisions and protect company margins. Coordinate dispatch schedules for fuel deliveries, balancing efficiency, driver capacity, and customer needs. Monitor real-time product levels and tank inventories; adjust dispatch schedules accordingly. Maintain close communication with transport drivers, terminals, and customers to ensure smooth operations.
Customer and Operational Support:
Provide professional customer support regarding orders, pricing, delivery documentation, and account inquiries Assist with Automated Fuel Delivery (AFD) program setup, order entry, and invoicing. Prepare and submit municipal and government fuel bids as required. Learn and apply operational and compliance standards for refined fuel delivery and product management.
Accounting, Receivables, and Payables:
Prepare and issue accurate customer invoices , ensuring pricing, product volumes, and delivery information align with Bill of Lading (BOL) data. Support accounts payable — review, code, and process vendor invoices; verify delivery and pricing accuracy prior to payment.
Mathematical and Logical Application:
Utilize mathematical reasoning for pricing calculations, fuel blends, margin tracking, and volume reconciliations. Apply logic and critical thinking to resolve delivery discrepancies, billing variances, and operational challenges. Interpret data from multiple systems to identify trends, discrepancies, and opportunities for efficiency improvement. Maintain precision under pressure, particularly during high-volume order days or market volatility.
Qualification:
College degree or experience in general booking, dispatch/logistics, or product sourcing (fuel industry experience a plus). Demonstrated mathematical accuracy and analytical ability in problem-solving and financial reconciliation. Proficiency in Microsoft Excel. Excellent communication, organizational, and multitasking skills. Ability to work both independently and collaboratively in a team-oriented environment Strong attention to detail, with the ability to adapt quickly to changing priorities.
Schedule:
7:00am to 4:00pm Monday-Friday with every third weekend on-call rotation
Pay:
$40,000.00 - $50,000.00 per year
