As the first point of contact for clients, visitors, and callers, this position plays an important role in creating a welcoming, professional experience while helping keep our office running smoothly. Fluent Spanish and English are required. This is a hands-on position that combines reception, client interaction, administrative support, office coordination, and facilities responsibilities. The ideal candidate is professional, dependable, organized, comfortable communicating with people, and able to use good judgment while managing multiple priorities.   • Open phones and prepare offices at the beginning of each workday.
  • Must be conversational in Spanish.
  • You are the first in line for incoming calls from potential clients and visitors to our office. You will greet visitors, answer phones, respond to inquiries, and resolve issues based on established firm policies.
  • Use our CRM software and Case Management software to conduct business on behalf of our firm.
  • Collate and distribute mail.
  • Organize and facilitate on site meetings and events, schedule and coordinate dates and times, venues, attendance, agendas, meals, and facility arrangements.
  • Facilitate, monitor and/or oversee office purchasing, inventory, supplies and equipment.
  • Monitor the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, common areas and parking lots.
  • Perform a variety of administrative tasks including e-mail communication, data entry and the drafting, editing, and revision of letters, reports, and other materials.
  • Schedule inspections and repairs with outside vendors as needed.
  • Physically move things in office and to storage as needed.
  • Perform other duties as assigned. What You Should Have
  • Must speak and understand Spanish.
  • A professional demeanor.
  • Proficiency in Outlook, Microsoft Word, and Excel.
  • Excellent organizational and communication skills both written and verbal.
