Job Description

Job Overview WisLab EMS is seeking a proactive and highly organized Facilities Security Specialist to join our team. He or she plays a crucial role in ensuring our workplace is safe, efficient, and well-maintained. This position is the central point of contact for all facilities and security related requests and is responsible for coordinating maintenance activities, managing vendor relationships, and supporting various operational tasks. The ideal candidate is a hands-on problem-solver with excellent communication skills and a strong customer service mindset.
Key Responsibilities Security Inspections & Walk-throughs:
Conduct regular inspections of the facility to identify potential safety hazards, maintenance needs, and opportunities for improvement.
Safety & Compliance:
Support the implementation of health and safety programs. Assist with fire drills, safety inspections, and ensure the facility remains compliant with OSHA and local regulations.
General Maintenance:
Perform minor, hands-on maintenance tasks such as changing light bulbs, assembling furniture, hanging pictures, and addressing minor cosmetic repairs.
Preventative Maintenance:
Assist in preventative maintenance for critical building systems and equipment to minimize downtime.
Office Space Planning:
Coordinate employee/guest workstation, office reconfigurations, and furniture assembly/installation projects.
Work Order Management:
Serve as the primary administrator, your will receive, prioritize, and assign all incoming maintenance and service requests from employees.
Vendor Coordination:
Schedule, dispatch, and oversee external vendors for specialized maintenance and repairs (e.g., HVAC, plumbing, electrical, janitorial). Obtain quotes, process invoices, and ensure vendor compliance with company policies. Other duties assigned by the supervisor.
Qualifications and Skills Required:
High school diploma or GED. 2+ years of experience in a facilities coordination, property management, office management, or related role. Demonstrated experience coordinating with and overseeing external vendors. Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment. Proactive, self-motivated, and able to work independently with minimal supervision.
Preferred:
Associate or bachelor's degree in a related field. Basic knowledge of building systems, including HVAC, electrical, and plumbing. Bilingual English and Mandarin is a plus. Physical Requirements Ability to lift and carry up to 50 pounds. Ability to stand, walk, bend, stoop, and climb ladders for extended periods. Willingness to perform hands-on maintenance tasks as required. Must be able to work on-site at our Fremont, CA location. WisLab EMS is an Equal Opportunity Employer.
