High School Diploma required; Associate or Bachelor degree, technical education, or relevant industry certifications preferred. Seven or more years of experience supporting commercial and/or institutional facilities, with demonstrated experience leading staff, contractors, and multi-site operations. Strong knowledge of building infrastructure, life safety systems, mechanical systems, electrical and plumbing systems, pools and aquatic systems, carpentry, and general building operations. Project management experience including scoping, cost estimating, budgeting, bid/RFP evaluation, contract negotiation, scheduling, vendor management, and project reporting. Demonstrated ability to manage department and project budgets, interpret financial information, and operate within established purchasing and approval requirements. Strong working knowledge of
CAL-OSHA
standards, Environmental Health & Safety practices, disaster preparedness, hazardous materials, and risk-management requirements. Advanced proficiency with CMMS platforms, Microsoft Office 365, and routine digital communication and collaboration tools; ability to learn new software quickly and use technology independently. Excellent written and verbal communication skills, sound judgment, strong organization and prioritization, and the ability to communicate effectively with technical and non-technical stakeholders. Ability to read and interpret plans, drawings, equipment information, inspection reports, and technical documentation. Valid driver's license and clean driving record; ability to travel regularly between YMCA locations. CPO (Certified Pool Operator) certification required within 12 months of hire; YMCA-provided training is available. High-rise certification required within 12 months of hire, or within the timeframe required for assigned properties. Facilities, project management, or related certifications such as FMP, CFM, PMP, or equivalent are highly desirable. Position Summary Under the direct supervision of the Executive Director of Facilities, the District Facilities Director is responsible for the leadership, management, and operational readiness of a complex multi-site portfolio that includes Embarcadero, Treasure Island, Chinatown, and related assigned sites. The role oversees building life safety systems, facilities infrastructure, preventive maintenance, shutdowns, pools and aquatic systems, custodial services, and construction or capital projects up to $250,000. The District Facilities Director leads assigned Facilities staff and service providers and works closely with branch leadership to ensure safe, clean, compliant, reliable, and well-maintained buildings and grounds. This role requires strong technical judgment, staff leadership, technology proficiency, and timely communication. The District Facilities Director is expected to use CMMS and digital collaboration tools consistently, maintain accurate records and reporting, communicate priorities and status clearly, and coordinate effectively across Facilities, branch operations, contractors, and Association leadership. Hands-on troubleshooting may be required during emergencies; however, specialized repairs and service are managed through qualified staff and vendors as appropriate. Job Responsibilities Facility Management Provide day-to-day facilities leadership for assigned branches and related satellite sites; assignments may be adjusted by the Executive Director of Facilities based on Association needs. Maintain assigned buildings and grounds in compliance with applicable city, state, and federal laws, codes, ordinances, CAL-OSHA standards, life safety requirements, and YMCA policies and procedures. Oversee building infrastructure and operating systems, including life safety, mechanical, electrical, plumbing, pools and aquatic systems, custodial services, interior and exterior building components, landscaping, and related facility assets. Conduct and document routine facility inspections, including monthly, quarterly, annual, and condition-based reviews; ensure identified deficiencies are assigned, tracked, escalated, and resolved. Manage preventive maintenance programs and work-order performance through the Association CMMS, including task assignment, prioritization, completion standards, asset data, PM schedules, and follow-up reporting. Manage assigned branch Facilities budgets, procurement, supplies, equipment, and vendor expenses within established financial policies and approval requirements. Ensure fitness equipment preventive maintenance and repair programs are maintained in accordance with Association standards and vendor requirements. Maintain operational readiness for planned shutdowns, high-impact maintenance, inspections, and facility emergencies; provide backup support to other YMCA locations when assigned. Identify practical opportunities to reduce utility consumption, waste, and operating costs and support Association sustainability or resilience initiatives as assigned. Project & Vendor Management Manage assigned construction, renovation, repair, and capital projects up to $250,000 from planning and budgeting through execution, closeout, and reporting. Develop scopes of work; solicit and evaluate bids or proposals; perform bid leveling; recommend vendor selection; and support contracting and value-engineering efforts. Coordinate consultants, contractors, service providers, and internal stakeholders for site visits, scheduling, project meetings, access, shutdowns, and follow-up on action items. Manage outside contractors and service providers in accordance with YMCA procurement, insurance, licensing, safety, risk, and contract requirements. Monitor project budgets, schedules, change conditions, invoices, and vendor payments; communicate risks, delays, and financial impacts promptly. Support long-range capital planning by documenting asset condition, recurring failures, repair history, and anticipated replacement needs. People Leadership & Training Supervise assigned Facilities staff, including full-time, part-time, and contracted team members; provide clear priorities, performance expectations, coaching, accountability, and development. Partner with the Executive Director of Facilities on hiring, onboarding, performance management, staff evaluations, dispute resolution, and team development while maintaining appropriate confidentiality. Assign and monitor projects, work orders, preventive maintenance, emergency response, and service standards; reinforce timely completion and high-quality customer service to branches and members. Conduct or coordinate training related to facilities operations, building systems, preventive maintenance, safety, risk management, emergency procedures, custodial standards, and relevant policies. Provide Facilities leadership across the Association when needed, including directing staff or coordinating response at locations outside the assigned portfolio during urgent conditions. Safety, Risk & Emergency Readiness Maintain strong working knowledge of Environmental Health & Safety practices, CAL-OSHA requirements, SDS documentation, PPE, hazardous materials handling, disaster preparedness, and applicable regulatory requirements. Support annual safety and risk-management training, audits, corrective actions, and documentation in coordination with Association leadership. Maintain operational awareness of building life safety systems, emergency procedures, pools and aquatic systems, and other critical infrastructure within the assigned portfolio. Participate in the Facilities on-call program and coordinate after-hours response for emergencies, business continuity, and critical building issues as scheduled. Technology, Data & Communication Use the Association CMMS and other digital tools consistently to assign and track work, maintain asset and preventive-maintenance records, document progress, and produce reliable operational reports. Demonstrate strong proficiency with Microsoft Office 365 and digital communication, collaboration, project-tracking, and document-management tools; learn and adopt new systems as required. Maintain timely, professional, and clear written and verbal communication with the Executive Director of Facilities, branch leaders, Facilities staff, vendors, contractors, and Association stakeholders. Provide regular status updates on work orders, projects, outages, inspections, budgets, and emerging risks; escalate urgent issues promptly and communicate expected next steps and timelines. Maintain accurate meeting notes, action items, vendor documentation, project files, inspection records, and other required Facilities documentation. Analyze operational and financial information to support prioritization, decision-making, performance improvement, and resource planning. Work Environment and Physical Demands This role is primarily onsite with frequent travel between assigned YMCA facilities and occasional support at other Association locations. Work includes office and field environments with exposure to varying temperatures, humidity, noise, pool environments, outdoor conditions, dust, and cleaning or maintenance chemicals. Requires frequent walking and standing throughout facilities and the ability to bend, kneel, climb ladders, access equipment areas, and perform inspections in confined or elevated spaces. Ability to lift and move materials or equipment up to 50 lbs. with or without reasonable accommodation. Ability to respond to facility emergencies outside normal business hours as part of scheduled on-call coverage.
