The Role The Workplace + Facilities Coordinator owns the day-to-day operations of Intake's office and SB warehouse facilities, ensuring both locations are clean, organized, safe, and running smoothly without requiring constant oversight. This role serves as the primary point of contact for workplace operations, vendor management, facility maintenance, office logistics, and local coordination. You will work directly with cleaners, contractors, landlords, and service providers while helping create an environment where the team can do their best work. This is a hands-on role that combines planning, organization, vendor management, and execution. You'll be trusted to identify needs, solve problems, and keep facilities operating efficiently. What You'll DoFacilities Management Own the cleaning vendor relationship, including scheduling, quality management, contract renewals, and issue resolution Coordinate and oversee office and warehouse construction, maintenance, and improvement projects Serve as the primary contact for landlords, property managers, and facility-related service providers Maintain awareness of lease obligations, maintenance schedules, inspections, and facility requirements Manage warehouse space organization and upkeep in partnership with operations and fulfillment teams Maintain a comprehensive facilities calendar tracking maintenance, inspections, contracts, renewals, and key deadlines Office Operations Manage office supplies, inventory, ordering, and stocking across both locations Coordinate office-related vendor relationships and service providers Arrange travel bookings and logistics for team members as needed Manage office shipping, mailing, returns, and specialty shipments Support onboarding logistics, workstation setup, office equipment coordination, and team merchandise distribution Maintain workplace safety standards, emergency procedures, and facility compliance requirements Ensure office spaces remain organized, functional, and presentation-ready Assist with hands-on workplace needs as required, including light organization, moving supplies, taking out trash, unloading deliveries, and coordinating between cleaning visits Track workplace and facilities expenses and monitor spending against budget Run local errands, supply pickups, and returns as needed Reporting & Communication Provide regular updates on facility operations, vendor performance, budgets, projects, and upcoming needs Escalate issues requiring business decisions, budget approvals, or leadership input Independently manage day-to-day execution and follow-through What We're Looking For 2+ years of experience in office management, workplace operations, hospitality, facilities coordination, or a similar role Experience managing vendors, contractors, and service providers Strong organizational skills with excellent follow-through Ability to prioritize and manage multiple projects simultaneously Comfortable working independently with minimal supervision Strong communication and relationship-building skills Local to Santa Barbara and available to work on-site across both locations Reliable personal vehicle for local errands, returns, and supply runs Sound judgment regarding when to solve independently and when to escalate Nice to have: Experience supporting warehouse, manufacturing, or fulfillment environments Experience coordinating office moves, renovations, or build-out projects Familiarity with workplace safety programs and facility compliance requirements Experience tracking budgets and vendor contracts Why This Role This role owns the workplace experience at Intake. You'll have direct responsibility for keeping our facilities running smoothly, building relationships with vendors and partners, and creating an environment where the team can operate efficiently. Success in this role means becoming the trusted owner of workplace operations, proactively managing facilities, anticipating needs before they become problems, and ensuring our office and warehouse spaces support the company's continued growth. Additional Information This position is based on-site in Santa Barbara, California and requires regular presence at both our headquarters and SB warehouse location. This position is non-exempt and eligible for overtime in accordance with California law. Employment is at-will and may be terminated by either party at any time, with or without cause or notice.
