Facilities & Operations Coordinator Position Summary Coffeebar is seeking a highly organized and proactive Facilities & Operations Coordinator to support the upkeep, maintenance, and improvement of our cafés and operational facilities across multiple locations. This role serves as the central point of coordination for facilities requests, preventive maintenance, vendor management, repairs, and facility-r elated projects. The ideal candidate thrives in a fast-paced environment, communicates effectively with multiple stakeholders, and enjoys solving problems while helping keep our locations safe, functional, and guest-ready. Core Accountabilities Facilities Coordination Manage and respond to facility maintenance requests across multiple locations. Prioritize, track, and coordinate repairs and maintenance activities. Ensure issues are documented, assigned, and followed through to completion. Communicate status updates and timelines to operational leaders. Preventive Maintenance Maintain preventive maintenance schedules for facilities and equipment. Coordinate service visits with vendors and location teams. Track completion of recurring maintenance programs. Maintain service records and documentation. Vendor Management Coordinate with contractors, service providers, landlords, and vendors. Obtain quotes and assist with scheduling and project logistics. Verify work completion and collect documentation, invoices, warranties, and service reports. Maintain accurate vendor records and contact information. Project Coordination Support facility improvement projects, renovations, and new location initiatives. Track project schedules, budgets, milestones, and open items. Assist with permit, inspection, and vendor coordination activities. Provide regular project updates to leadership. Records & Asset Management Maintain facility files, warranties, asset inventories, maintenance histories, and project documentation. Organize records to ensure information is accurate and easily accessible. Track facility-related expenses and support budget reporting. Reporting & Communication Prepare regular status reports on maintenance activities, outstanding issues, and project progress. Identify recurring problems and recommend process improvements. Partner with operations leaders to help ensure safe, clean, and operationally effective facilities. What We're Looking For 2+ years of experience in facilities coordination, operations support, property management, construction administration, maintenance coordination, or a similar role. Strong organizational skills and attention to detail. Experience coordinating vendors, contractors, or service providers. Ability to manage multiple projects and priorities simultaneously. Proficiency with Microsoft 365, spreadsheets, and task management systems. Excellent communication and follow-through. A collaborative, solutions-oriented approach. Preferred Qualifications Experience supporting multiple locations. Hospitality, restaurant, retail, or service-industry experience. Familiarity with maintenance tracking systems, work orders, or project management tools. Other Essential Functions Ability to respond to and coordinate resolution of urgent facilities issues outside of normal business hours, including evenings and early mornings, as operational needs require. Ability to regularly visit multiple locations as needed throughout Tahoe and Reno markets. Ability to occasionally travel to locations as needed in the Bay Area market. Occasional lifting, carrying, climbing stairs, and movement throughout operational facilities. Ability to inspect facilities and construction or maintenance projects in varying environments. Success in This Role Facilities issues are tracked, communicated, and resolved in a timely manner. Preventive maintenance programs remain organized and current. Vendor relationships are effectively managed. Projects stay organized and stakeholders remain informed. Locations are maintained in a safe, functional, and guest-ready condition.
Pay:
$30.00 - $35.00 per hour Expected hours: 40.0 - 50.0 per week
