Job Title:
Facilities CoordinatorJob Description The Facilities Coordinator plays a crucial role in providing support by monitoring performance and coordinating a team of multi-skilled operatives. This position is based in Chicago, IL and involves developing strong working relationships with key stakeholders and managing facilities vendors. The role ensures timely and accurate completion of all tasks and involves planning to transition to a full-time employee. Responsibilities
+ Monitor and coordinate the performance of a small team of multi-skilled operatives.
+ Develop close working relationships with key client stakeholders, landlords, managing agents, and facilities vendors.
+ Assist in managing on-site contractors to ensure they meet required standards.
+ Participate in the procurement of vendors and services as needed.
+ Support financial processes to ensure timely and accurate financial management.
+ Manage purchase orders promptly and accurately within the internal financial management platform.
+ Assist with monthly accrual reports and monitor finance trackers.
+ Conduct site inspections, assessments, regular audits, and implement safety and building procedures.
+ Implement the property risk management program and industry best practices.
+ Maintain premises in neat and good working condition.
+ Support the implementation and monitoring of disaster recovery and business continuity plans.
+ Follow established escalation and incident reporting procedures.
+ Provide support for regular management reports and projects as required.
+ Achieve Key Performance Indicators (KPI) and Service Level Agreement (SLA) targets. Essential Skills
+ Ability to work both independently and as part of a team.
+ Self-motivated with a confident and energetic attitude.
+ Excellent verbal and written communication skills.
+ Ability to work well under pressure and be flexible.
+ Proficiency in Microsoft Word, Excel, and Outlook.
+ Bachelor's degree in a related field. Additional Skills & Qualifications
+ Proficient in Microsoft applications.
+ Experience with NCMMS.
+ Clean driving record. Work Environment The position operates Monday through Friday from 8:00 AM to 4:30 PM. The Facilities Coordinator will be stationed out of one office and will involve virtual and in-person interviews. The role requires organizational and communication skills to manage building operations effectively. Job Type & Location This is a Contract position based out of Chicago, IL. Pay and Benefits The pay range for this position is $10.00 - $10.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
