Job Description

Job Summary We are seeking a part-time Office Coordinator for a contract/temporary opportunity in Chicago, IL within a professional engineering services environment. This onsite role is ideal for a service-oriented administrative and facilities support professional who enjoys keeping an office running smoothly, supporting employees, coordinating workplace needs, and creating a safe, organized, and welcoming environment. The Office Coordinator will play an important role in day-to-day office operations, vendor coordination, facilities requests, supplies, workspace support, and employee service needs. This is a great opportunity for someone who values teamwork, dependable onsite support, and a collaborative office setting where strong communication, organization, and follow-through are highly valued. Key Responsibilities
  • Coordinate office service requests, preventive maintenance, repairs, supply needs, workspace requests, and vendor activities.
  • Serve as a helpful onsite resource for employees, leaders, contractors, vendors, and property management.
  • Maintain a clean, safe, functional, and welcoming office environment, including support for office, break room, and kitchen areas.
  • Track work orders, maintain records, process invoices or purchase requests, and support budget and compliance documentation.
  • Monitor office safety, security, emergency procedures, and workplace policies, escalating issues as needed.
  • Respond to changing priorities and urgent onsite needs while maintaining confidentiality and professionalism. Compensation and Benefits
  • Pay rate: $22 to $25 per hour.
  • Job type: Contract/Temporary.
  • Schedule:
    Part-time, 25 hours per week.
  • Work arrangement: Onsite in Chicago, IL. Required Qualifications and Skills
  • Coordinate daily facilities and office support activities in a busy professional office.
  • Manage service requests, vendor communication, supplies, workspace needs, and maintenance follow-up.
  • Support office safety, security, employee service needs, and administrative processes.
  • Maintain accurate records, purchase requests, invoices, and facilities-related tracking.
  • 1 to 2 years of relevant experience in facilities support, office services, administration, property operations, hospitality, or a customer-support environment.
  • Strong customer service, interpersonal, written, and verbal communication skills.
  • Ability to work effectively with employees, leaders, contractors, vendors, and property management.
  • Sound judgment, practical problem-solving skills, and the ability to escalate risks appropriately.
  • Proficiency with Microsoft Office and the ability to learn work-order, purchasing, and facilities-related systems.
  • Strong attention to detail when maintaining records, tracking work, and supporting compliance requirements.
  • Ability to work independently and collaboratively while adapting to changing priorities.
  • Ability to meet the physical requirements of the role, including walking through office areas, bending, stooping, pushing, sitting for long periods, typing, and lifting up to 50 lbs.
  • Willingness to perform tasks that may be custodial in nature, including office, break room, and kitchen maintenance support. Preferred Qualifications
  • Experience supporting facilities or office operations in an engineering, professional services, corporate office, or similar workplace environment.
  • Prior experience coordinating vendors, contractors, property management requests, or preventive maintenance activities.
  • Familiarity with work-order systems, purchasing processes, invoice tracking, or office supply management.
