The Facilities and Security Administrative Assistant provides essential administrative, organizational, operational, and logistical support to ensure the efficient functioning of the Facilities and Security Departments. This role provides high-level, confidential administrative and operational support for district facilities, safety, security, emergency preparedness, personnel matters, and sensitive operational functions.Reports to:
Director of Safety and Security and Director of Facilities Qualifications/Minimum Requirements:
High School Diploma or equivalent; Associate's or higher degree preferred; equivalent experience considered. Proficiency in Microsoft Office and Google Workspace. Excellent written and verbal communication skills. Experience in creating, coordinating, and maintaining schedules.Preferred Skills:
Experience working in an administrative assistant or office management role. Experience in facility and security management systems. Familiarity with access control, camera, emergency preparedness protocols, and facility management systems. Budget tracking and purchasing experience. Ability to coordinate multiple projects and stakeholders simultaneously. Ability to maintain confidentiality, handle sensitive information appropriately, and exercise sound judgment. Strong judgment and ability to safeguard confidential information regarding staff or students. Strong organizational, multitasking, and time-management skills with attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. Administrative & Operational Support Provide direct administrative support to the Directors of Facilities and Security. Regularly access, maintain, and support confidential information and operations related to district safety, security, personnel evaluations and discipline, emergency preparedness, and operational functions. Communicate with district administration, school administration, and other staff regarding security, building, and grounds needs. Coordinate personnel training logistics and maintain personnel compliance records. Assist with confidential personnel investigations and maintain sensitive records and reports related to employee discipline, grievances, workers' compensation, labor relations, safety incidents, staffing matters, and legal compliance. Manage financial tracking, including PCard transactions and vendor invoices. Coordinate department calendars, communications, records management, and administrative operations while ensuring compliance with district, state, and federal requirements. Coordinate building access records and security credentials. Maintain and coordinate confidential security and emergency preparedness records, including threat assessments, access-control documentation, incident-response procedures, safety drills, and compliance and security communications. Access and organize camera footage for investigations. Manage department-specific initiatives, such as OSHA training and logistics for construction projects. Coordinate communications and operational issues on behalf of department leadership. Serve as a communications liaison between district administration, contractors, law enforcement, and school personnel on sensitive operational matters. Perform additional confidential administrative and operational duties in support of district leadership, safety operations, personnel matters, and emergency management Exercise independent judgment in prioritizing sensitive operational matters. Maintain confidentiality while effectively managing multiple priorities, deadlines, interruptions, and sensitive information. Work Environment May require occasional site visits, event support, or participation in safety drills and community meetings. Travel within and beyond the district.Benefits:
